Aspen Publishing is seeking an Administrative Assistant to be a part of an exciting growing company. This position will work in our Burlington, MA, office with an optional hybrid schedule (3 days in office/2 days remote). The ideal candidate is interested in a career in higher education publishing and will develop a comprehensive knowledge of the Editorial Group’s activities.

Position Summary
Responsible for providing administrative support to the Publisher, Editorial Director, and Director of Production and Manufacturing.
Essential Duties and Responsibilities
- Manage and maintain schedules, including scheduling travel and conferences, making appointments, and making changes to appointments
- Triage Publisher correspondence, including email, and snail mail
- Prepare reports (including Travel and Expense Reports); collect, collate, and analyze information; prepare presentations
- Record meeting discussions and provide minutes
- Coordinate weekly and monthly staff meetings
- Populate CRM and Title Management Systems with critical data
- Generate market share and market opportunity reports as needed
- Coordinate all invoice tracking, prepare check requests, and follow up as needed
- Coordinate all activities related to scheduling New Product Proposal (NPP) meetings, including attending meetings and posting approved NPPs
- Request and distribute reports for approved revision titles and maintain RTF files for editorial
- Circulate weekly publication plan and changes memo; regularly update the product master as required
- Send out announcements and emails to company and send author copies as books are published
- Work closely with managing editors and acquisitions editors to ensure accurate reporting of weekly status reports, work schedules and monthly reports
- Process accessibility requests as needed
- Perform other duties as assigned by supervisor
Qualifications
- Bachelor's degree in business administration, communications, management, or a related field
- 1-3 years of work experience in an administrative role
- Advanced Microsoft Office experience
- Exceptional attention to detail
