Qualifications

  • Associate’s degree in Business Administration or related field, or equivalent vocational training.
  • 5+ years of experience in a senior administrative assistant, executive assistant, or business support role.
  • Experience supporting teams within a fast-paced technical, industrial, or service-oriented environment.
  • Proficiency with Microsoft Office applications and SAP Concur, with strong organizational and project coordination skills.

Responsibilities

  • Provide high-level administrative support including calendar management, travel arrangements, and correspondence for department leadership and team members.
  • Serve as the primary point of contact for departmental inquiries, handling communications with confidentiality.
  • Coordinate meetings by preparing agendas, documenting minutes, tracking actions, and ensuring follow-up.
  • Support operational and project activities through documentation management and deadline tracking.
  • Process purchase orders, invoices, expense reports, and travel-related activities using SAP Concur and company systems.
  • Maintain accurate records, reports, presentations, and filing systems to support management reporting.

As an Administrative Assistant supporting the Service Operations team within Controls & Digitalization, you will provide high-level administrative, operational, and organizational support to ensure efficient day-to-day business operations. Your responsibilities will include coordinating executive schedules, managing travel arrangements, supporting team meetings, processing business documentation, and assisting with project-related activities. You will serve as a key point of contact for internal and external stakeholders while maintaining accurate records and supporting business processes. Success in this role requires strong organizational skills, discretion, initiative, and the ability to work independently in a fast-paced technical environment.

How You'll Make an Impact
  • Provide comprehensive administrative support, including calendar management, meeting coordination, travel arrangements, and correspondence for department leadership and team members.
  • Serve as the primary point of contact for departmental inquiries, professionally handling communications while maintaining confidentiality and discretion.
  • Coordinate meetings and business activities by preparing agendas, documenting meeting minutes, tracking action items, and ensuring timely follow-up on key initiatives.
  • Support operational and project activities through documentation management, deadline tracking, stakeholder coordination, and communication facilitation.
  • Process purchase orders, invoices, expense reports, and travel-related activities utilizing company systems such as SAP Concur.
  • Maintain accurate records, reports, presentations, and filing systems while gathering and organizing information to support management reporting and business operations.
What You Bring
  • Associate’s degree in Business Administration or a related field, or equivalent vocational training.
