Job Summary

Uses skills as a seasoned and experienced administrative operations professional to manage, plan, and administer the operations of a small organizational unit with limited scope. Reports to a higher-level administrative operations manager. Performs short- and long-term planning for the organization. Supervises 3-5 staff members. Demonstrates good judgment in selecting methods and techniques for obtaining solutions.

Responsibilities
  • Manage HR-related actions and processes for broad staff, NFA, and affiliate populations.
  • Administer and review workflows related to departmental administrative functions, focusing on HR operations for non-faculty academics and staff.
  • Plan, develop, implement, and administer recruitment, onboarding, renewals, and separation processes in collaboration with HR Shared Services, CAO, and the Director of Academic Affairs.
  • Serve as a key HR and administrative resource for staff, NFAs, and departmental leadership.
  • Oversee special HR and administrative initiatives.
  • Use high-level HR policies and programs to address strategic personnel issues, including contract interpretation, grievances, OPHD investigations, and sensitive matters, referring complex issues to the CAO.
  • Supervise faculty administrative support staff and HR Admin Officer.
  • Ensure processes are consistent with policy and implemented uniformly across all missions.
  • Make recommendations to streamline activities and maximize quality, execution, and productivity.
  • Participate in strategic planning and special projects in collaboration with senior staff.
Compensation

Salary range: $84,800 - $127,200 annually. Final salary depends on experience and internal equity. Benefits information: UC Benefits.

Qualifications
Required
  • Bachelor's degree in a related area and at least three years of experience, including one year of supervisory/lead experience, or equivalent.
  • Knowledge of organizational processes, rules, regulations, and HR policies.
  • Strong interpersonal, verbal, and written communication skills.
  • Ability to evaluate issues and identify resolutions.
  • Customer service orientation and ability to manage multiple priorities.
  • Experience in employee supervision.
  • Skills in planning, analysis, problem-solving, and confidentiality.
  • Ability to work with senior executives on confidential initiatives.
  • Manage administrative needs of assigned functions.
Preferred
  • HR Certification, Project Management Certification, UCSF Leadership Development Series for Supervisors.
  • Knowledge of university-specific applications (AP Recruit, Brass Ring, Advance, Microsoft Suite).
