Montgomery College, Rockville Campus, seeks candidates for aFull-time Administrative Aide II in the Computer & DataSciences department. The work schedule is Monday – Friday 8:30am –5:00pm. This is a Bargaining, non-exempt, grade 19 position. Fornon-exempt positions, you are not eligible to work a secondary jobat Montgomery College. This position is eligible for telework (1)day a week after probation period. Telework eligibility and totaldays per week are subject to change based on the operational needsof the applicable unit/area. Montgomery College does not currentlyoffer voluntary remote work or withhold payroll taxes for statesoutside of its tax reciprocity agreements. As a result, employeesmust reside in, and perform any approved telework from Maryland,Washington, DC, Virginia, West Virginia, Delaware, or Pennsylvania.Employees residing in other states at the time of hire are noteligible for telework until they have secured a permanent residencein one of the states listed above.

The work involves providing administrative, technical, and supportservices to an academic or administrative unit and facilitating the administrative procedures related to the programs and servicesoffered by the office.

Responsible for organizing and carrying out assigned officeactivities to include department events. Assigned administrativesupport tasks involve technical decisions regarding processing ofactions (i.e., budget, personnel, purchasing); researchinginformation in the files and providing the results to thesupervisor; and/or, maintenance of unit financial records and webpage(s).

The incumbent in this position communicates with others throughoutthe College and external entities to obtain and provideinformation, arranges appointments and staff schedules andorganizes office routines; and speaks for the supervisor on matterson which the supervisor’s views are known, or as otherwiseauthorized.

Duties include but are not limited to:
  • Performs general administrative duties and ensures compliancewith established policies and procedures regarding office services,College protocols, the college academic calendar and deadlines, andadministrative requirements.
  • Answers phones, opens and routes mail, types and createsvarious communications (e.g. correspondences, flyers, letters,syllabi, tests, and/or reports) by typing from draft documents andsubsequently proofs and edits the documents.
  • Initial point of contact for the office, directs calls andwalk-ins to appropriate staff or departments.
  • Manages and maintains supervisor's schedule and calendar forscheduling of conference and room space; orders supplies throughvarious vendors; hires, maintains manual and/or automatedfinancial, accounting, personnel and other administrative andmanagement files and records, ensuring confidentiality whereappropriate; attends meetings, takes summary notes and distributesnotes and minutes; reviews and verifies information on forms anddocuments submitted to the academic or administrativedepartment.
  • Performs calculations or coding and enters data intoappropriate systems.
  • Manages one or more web pages for the academic oradministrative area, which may include adding, modifying, orremoving content as to reflect the organization’s programs andoperations.
  • Provides technical support by processing actions relating tothe budget, personnel, or purchasing to include purchaserequisitions and submitting the actions for the supervisor’sapproval.
  • Manages and coordinates departmental events, including but notlimited to speaker series events, programming competitions for MCand K-12 students and hackathons or data challenges.
  • May manage vendor contracts for building maintenance;communicate facility issues and coordinate and schedule all vendordeliveries.
  • Assists in the training of lower-level staff or studentworkers.
  • Manages priorities, projects and stakeholder needssimultaneously in a busy office environment.
  • Performs other duties as assigned.
Required Qualifications:
  • High school diploma or GED including or supplemented by coursesin word processing and office practices.
  • Three years of progressively responsible experience performinggeneral office and secretarial duties involving customerservice.
  • The equivalent combination of education, training,certification and/or experience that provides the requiredknowledge and expertise to perform the essential functions of thejob may be considered.
  • Knowledge of office support procedures and practice; Englishusage to include spelling, grammar, writing styles and formats;basic mathematical computations; record keeping principles andprocedures; and PC hardware and skill in using PC software andoffice applications.
  • Eligible applicants must currently be authorized to work in theUnited States and not require employer visa sponsorship
Preferred Qualifications:
  • Experience managing and organizing in-person, remote, andhybrid events
Hiring Range:

$23.05 – $28.81 hourly. Initial salaryplacement for new hires falls between the minimum and midpoint ofthe range and is based on relevant candidate experience andinternal equity. The maximum salary for this position is $34.57hourly.
