Job summary

Massport seeks an Administration & Compliance Coordinator to drive accreditation, regulatory compliance, and security initiatives, coordinating audits and maintaining documentation across Port facilities.   • Bachelor's degree or equivalent professional experience; 5-7 years of progressive experience in project management, administration, operations, or related field.
  • Strong project management, budgeting, and organizational skills to manage competing priorities, analyze information, and support operational and strategic objectives.
  • Effective communication with diverse stakeholders, building relationships and collaborating across teams while navigating varying priorities and business needs.
  • Proficiency in Microsoft Office and database systems with professionalism, confidentiality, and discretion.

Responsibilities

  • Lead the department’s accreditation, regulatory compliance, and security program initiatives by coordinating audits, maintaining compliance documentation, and partnering with staff to ensure readiness and outcomes.
  • Manage grant administration and reporting by identifying funding opportunities, coordinating applications, and ensuring compliance with grant requirements across internal and external partners.
  • Oversee departmental budgeting, procurement, contracts, vendor relationships, and financial reporting, monitoring expenditures and aligning resources with strategic goals.
  • Provide high-level administrative support to department leadership, manage sensitive communications, and coordinate office operations to ensure efficient program execution.

ABOUT YOU

As an Administration & Compliance Coordinator, you are a highly organized, resourceful, and detail-oriented professional who thrives in a complex and fast-paced environment where accuracy, accountability, and discretion are essential. You build strong relationships across all levels of the organization, communicate effectively with diverse stakeholders, and bring a proactive, solutions-oriented approach to managing competing priorities. With strong analytical, project management, and financial acumen, you are comfortable navigating regulatory requirements, interpreting complex information, and driving continuous improvement while maintaining a high level of professionalism, confidentiality, and commitment to supporting departmental and organizational goals.

What you will do:
  • Lead the department’s accreditation, regulatory compliance, and security program initiatives by coordinating audits, maintaining compliance documentation, monitoring adherence to standards, and partnering with command staff and stakeholders to ensure ongoing operational readiness and successful program outcomes.
  • Manage grant administration and reporting activities by identifying funding opportunities, coordinating application and approval processes, overseeing compliance with grant requirements, and collaborating with internal departments and external agencies to support critical public safety initiatives.
  • Oversee departmental budgeting, procurement, contracts, vendor relationships, and financial reporting by monitoring expenditures, supporting strategic planning efforts, ensuring fiscal accountability, and aligning resources with operational priorities and long-term goals.
  • Provide high-level administrative and operational support to department leadership by managing sensitive communications, coordinating office operations, facilitating stakeholder engagement, overseeing key administrative functions, and ensuring the efficient execution of departmental programs and initiatives.

The salary range for this position is $84,000 to $98,000 annually and will be determined based on a variety of factors, including relevant experience, education, certifications, training, specialized skills, and overall qualifications.
