Location: Warsaw

Work model: hybrid (2 days working from the office - Warsaw Spire building)

For our expanding Warsaw-based CMG (Capital Market Group) business line we are looking for you as Administration Analyst.

What this job involves:

  • Provide administrative support to the team, including calendar management, travel coordination, and expense tracking
  • Assist with project coordination by creating and maintaining project schedules, tracking progress, and ensuring timely completion
  • Maintain effective communication channels within the team, including organizing team meetings, preparing agendas, and documenting meeting minutes
  • Coordinate and manage internal and external communications, including email correspondence, phone calls, and incoming inquiries
  • Assist with creating and updating project and client documentation, ensuring accuracy and completeness.
  • Process C2B requests in a prompt and efficient manner ensuring that there is no month-end rush to complete invoicing. Eg. contracts are set up and approved in readiness for billing
  • Prompt data update to CRM (Salesforce/Capforce) system
  • Respond to performance reports for business line and update/complete assignment, company and contact records by following data standards guidelines and protocols
  • Collaborate with team members to ensure smooth workflow and efficient operations.
  • Provide ad-hoc support to team members as needed

Desired skills and experience for this job

  • Good French - native level
  • Good knowledge of English - B2 minimum
  • High school diploma or equivalent, with relevant administrative or business-related certifications preferred.
  • Proven experience as an administrative or team assistant, preferably in a fast-paced professional environment
  • Excellent organization and time management skills, with the ability to prioritize and multitask effectively
  • Strong attention to detail and accuracy, with a commitment to maintaining high-quality work
  • Proficiency in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Nitro) and other relevant software
  • Exceptional interpersonal and communication skills, both written and verbal
  • Ability to work at a fast pace, large team with energy and enthusiasm
  • Ability to work independently and collaboratively, demonstrating a proactive and positive attitude
  • Strong problem-solving abilities and the willingness to take initiative
  • Knowledge of the commercial real estate industry is a plus
