We are seeking an energetic, proactive, and detail-oriented Admin/HR Assistant to join our Washington, DC team and support administrative and HR functions across the organization.
In this role, you will be the key go-to person in our DC office - welcoming visitors, fostering a fun and connected workplace culture, and supporting key office and HR operations. If you are eager to learn and thrive in an active team environment, we would love to meet you.
Key Responsibilities:
Office Administration & Support
- Office Hospitality: Serve as the face of the DC office; welcome visitors, clients, and team members upon arrival.
- Culture & Events: Plan and execute social events, office meals, staff contests, and holiday celebrations to build an engaging and positive work culture.
- Vendor & Supplies Management: Keep the office stocked with snacks, drinks, and essential office supplies.
- Storage & Inventory: Oversee and organize off-site/on-site storage facilities and maintain accurate office assets and inventories.
- Mailbox & Voice Mail Management: Monitor and respond to general inquiries.
- IT: Liaison between staff and IT support.
HR Administration & Recruitment Support
- Talent Acquisition Support: Post job openings across relevant job boards, track applications, and actively monitor and manage our careers mailbox.
- Onboarding & Vetting: Coordinate pre-employment processes, including initiating background checks and conducting reference checks for job applicants.
- Internship Program: Help coordinate and manage our internship program, including onboarding, organizing intern training sessions, and providing individual support.
- Data & Directory Management: Maintain and update key administrative spreadsheets to ensure accuracy.Internal Communications: Assist with drafting content and logistics for the company newsletter to keep teams informed and engaged.
Qualifications & Skills:
- Experience: 1–3 years of experience in office administration, administrative support, or HR assistance (prior internship experience welcomed).
- Education: Bachelor's degree preferred; equivalent experience will be considered.
- Presence: Must be able to work on-site 4 days per week (1 day remote) in our Washington, DC office.
- Attributes: High energy, welcoming demeanor, strong work ethic, and a genuine eagerness to learn and grow within HR and office operations.
- Organizational Skills: Excellent multi-tasking ability with strong attention to detail and accurate record-keeping.
- Communication: Clear, friendly, and professional written and verbal communication skills.
- Tech-Savvy: Proficient with MS Office, familiarity with or a willingness to learn and adopt AI tools.
