Job summary

Management Recruiters of Tallahassee is seeking an Accounts Receivable Associate for its Phoenix, AZ location. The role collaborates with Sales, Customer Service, Shipping, and Accounting to manage full-cycle AR for a manufacturing operation, ensuring accurate invoicing and timely cash application.

Reporting to the Accounting Manager, you will support month-end close, maintain master data, manage aging, and drive AR process improvements with ERP tools.

Qualifications

• 3+ years in accounts receivable, billing, collections or general accounting; manufacturing or distribution experience preferred.
• Experience with full-cycle AR, cash application, collections, and account reconciliations.
• Experience with an ERP or accounting system (SAP, Oracle, Epicor, Microsoft Dynamics, NetSuite, Sage, or similar).
• Intermediate Excel skills including VLOOKUP/XLOOKUP, pivot tables, and reconciliations.
• Strong attention to detail and the ability to meet daily cash application and month-end deadlines.
• Clear, professional, customer-focused communication with customers and internal departments.

Responsibilities

• Generate and issue a high volume of customer invoices based on shipments, sales orders, and contract pricing, ensuring accurate pricing, quantities, and terms.
• Apply daily cash receipts (check, ACH, wire, and credit card) to customer accounts; research and resolve unapplied cash, short-pays, and deductions.
• Manage collections on past-due accounts through proactive phone and email follow-up, escalating at-risk accounts to management as needed.
• Research and resolve billing discrepancies and customer disputes with Sales, Customer Service, and Shipping, and issue credit memos when approved.
• Maintain the customer master file, including new customer setup, credit applications, tax-exemption certificates, and payment terms.
• Maintain and review the AR aging report and help keep AR subledger balances in agreement with the general ledger.
• Support month-end close by preparing AR reconciliations, reviewing shipped-not-billed items, and assisting with bad debt reserve analysis.
• Manage customer portal submissions and invoicing requirements for key accounts, including EDI or e-invoicing where applicable.
• Provide documentation for internal and external audits and follow internal controls over billing and cash receipts.
• Recommend and support improvements to AR processes, including expanded use of ERP and AR automation tools.
