Job summary

The Applied Research Laboratory at Penn State University is seeking an Accounts Receivable Associate to manage invoicing, payment processing, and collections with accuracy and compliance. This role supports external partners and internal stakeholders through timely billing, ledger reconciliation, and reporting.

The position offers a flexible work arrangement combining remote and on-campus work; applicants should be able to meet in person at least two days a week.

Qualifications

• Degree in Accounting, Finance, or related field.
• Proficient in Microsoft Office Suite, particularly Excel.
• Experience using SAP and SIMBA.
• Strong organizational skills with exceptional attention to detail.
• Analytically minded and strong communication skills.

Responsibilities

• Create and maintain business partner information.
• Prepare invoices and credit memos for external business partners.
• Process billing efficiently and accurately; post payment receipts; record, review, and verify transactions and account balances; prepare and make bank deposits.
• Reconcile general ledgers, credits, chargebacks, checks, advances, credit cards/Echecks and cash; audit GL accounts regularly.
• Respond to customer inquiries; research, verify, and resolve concerns and discrepancies.
• Prepare accounts receivable statements and reports; prepare reports that summarize trends.
• Investigate and track outstanding invoices; verify status of accounts; follow up on collections and payment receipts.
• Ensure all transactions comply with policies and procedures.
• Answer and route phone calls.
