Job Description

We are looking for a Accounts Receivable Specialist to own the full AR cycle, from billing and cash application through collections, credit, and audit support. This role works closely with sales, operations, and the Controller, and serves as the go-to resource for AR processes, month-end close, and audit requests. We use Microsoft Dynamics 365 Business Central as our ERP.

Job Requirements

Core Responsibilities-

• Billing & Invoicing Oversight: Oversee accurate and timely invoicing in Business Central
• Review shipping logs against invoices for month-end cut-off accuracy
• Validate pricing, freight terms (FOB shipping point vs. destination), and sales tax on invoices, using Avalara for tax calculation
• Process credit memos, prepayment invoices, and customer deposits
• Work with sales and operations to resolve billing discrepancies

Cash Application & Reconciliations:

• Post ACH, wire, check, and credit card payments
• Research and resolve unapplied cash
• Reconcile the AR subledger to the general ledger each month
• Clear intercompany AR balances where applicable

Collections & Aging Management:

• Monitor the aged AR report and manage collection priorities
• Proactively follow up on past-due balances
• Escalate high-risk accounts and recommend next steps
• Work with sales to resolve disputed invoices
• Maintain clean collection documentation for auditors

Credit & Risk Management:

• Review customer credit applications
• Set and monitor credit limits and recommend account holds
• Perform bad debt analysis and support AR reserve calculations using historical loss rates

Process & Training:

• Serve as the subject-matter expert for AR processes in Business Central
• Train and support other staff on AR procedures as needed
• Identify and recommend process improvements

Audit & Compliance Support:

• Prepare AR confirmations, aging detail, and subsequent cash support for auditors
• Assist with revenue recognition testing
• Document internal controls over AR and support internal control narratives as needed

Qualifications-

• 5+ years of accounts receivable experience
• Strong Excel skills, including pivot tables and XLOOKUP/VLOOKUP
• ERP experience required (Dynamics 365 Business Central, Sage, or similar)
• Experience with Avalara (AvaTax) for sales tax calculation, exemption certificates, and resolving tax discrepancies
• Solid understanding of GAAP revenue recognition basics
• Experience with month-end close and supporting external audits
• Strong communication skills, especially for customer collections calls
• Associate's or bachelor's degree in accounting or finance preferred, or equivalent experience
