Job summary

Kyocera Document Solutions New England is seeking an Accounts Receivable/Collections Specialist to maintain customer service excellence while managing aging accounts and cash flow. You will follow up with customers by phone or email, review invoices, and coordinate with internal teams to resolve outstanding balances.

This role requires previous AR experience, strong communication skills, and proficiency with MS Outlook, Word, and Excel.

Qualifications

• High School Diploma or GED.
• Previous accounts receivable experience.
• Excellent verbal and written communication skills.
• Ability to read and comprehend instructions, correspondence, and memos.
• Ability to apply common sense understanding to carry out detailed written or oral instructions.
• Ability to deal with problems involving a few concrete variables in standardized situations.
• Intermediate computer skills, including knowledge of MS Outlook, Word, and Excel.

Responsibilities

• Manage aging of assigned accounts in a timely, effective, and professional manner.
• Follow up with customers by phone or email to collect outstanding debt.
• Provide invoice details to customers and forward billing updates to relevant departments.
• Record daily collection activity with notes on each account.
• Review credit holds and decide if a call or order can be released.
• Contact customers for payment status and inform account sales if held for non-payment.
• Review payment history and compile details on checks, ACH payments, and posted invoices.
• Prepare and submit accounts to third-party collections as needed.
• Maintain/update customer contact database, billing method, portal enrollments.
• Generate and submit regular reports on unpaid accounts.
• Print and mail customer statements monthly.
• Open incoming payments and summarize daily total check deposits.
