The Accounts Payable Supervisor is responsible for overseeing the daily operations of our accounts payable team from start to end while providing exceptional customer service. The successful candidate ensures that the department meets all financial deadlines and provides excellent customer service to internal stakeholders.

  • Oversee the daily operations of the AP department, including supervising staff, managing workflows, and ensuring accuracy and timeline of all payments.
  • Monitor vendor statements and ensure that discrepancies are identified and resolved.
  • Review weekly AP payments including ACH/Wires/Checks, ensure that vendors’ bank information, amounts are correct and accurate, payments are posted on time and correctly.
  • Work with the accounting team to process rent statements, Capex and transportation invoices monthly, make sure vendors are paid on time, expenses are accrued accurately.
  • Drive a customer service mentality throughout the AP department, motivating team to exceed current performance levels.
  • Reconcile AP aging to GL monthly.
  • Manage the processing of new vendor setups and vendor change requests within both JDE and Concur SAP, with the ability to perform this same work.
  • Pays vendors; verifying W9’s is up to date with federal id numbers; scheduling and preparing checks; resolving purchase order, contract, invoice, or payment discrepancies and documentation; insuring credit is received for outstanding memos; issuing stop-payments or purchase order amendments.
  • Assist with the development and implementation of AP sub-ledger policies and procedures.
  • Participate in annual audit.
  • Ad-hoc projects and reports.
  • Protects organization's value by keeping information confidential.

Skills and Qualifications:

  • Bachelor’s degree in accounting preferred, Certified Accounts Payable Associate (CAPA) Professional, or more than 5-10 years of related working experience.
  • Proven experience supervising staff and managing processes. (1-5 years of experience with supervision of AP team is preferred).
  • Proficient with accounting software and Microsoft Office, such as JD Edwards or similar ERP system; Experience of using any automated AP invoices process software is a plus.
  • Good knowledge of Microsoft excels.
  • Strong accurate data entry and computer skills.
  • Experience in the Retail industry is a plus.
  • Strong organizational and problem-solving skills, with excellent communication skills.
  • Ability to be a team player and adjust to change with a positive attitude
