Job summary

Hunter Hamilton is seeking an experienced Senior Accounts Payable Specialist with a strong background in construction accounting to join a family-owned construction management and general contracting firm. You will manage job costing, cost codes, AIA billing, retainage, purchase orders and subcontractor invoices, ensuring accurate coding and timely payments.

You'll import invoices, review approvals with project managers and owners, and export data to Sage for month‑end closes.

Qualifications

• Construction A/P experience within the construction industry is required.
• Strong understanding of construction job costing and cost codes.
• Experience with AIA billing and retainage.
• Familiarity with purchase orders and subcontract agreements.
• Experience working with Sage or a similar construction accounting/ERP system.

Responsibilities

• Scan and import expense invoices and subcontractor applications into a cloud-based invoice approval system.
• Review, code, and distribute invoices to project managers and owners for approval.
• Export approved invoices and transactions into Sage accounting software.
• Ensure invoices are accurately coded to the appropriate jobs and cost codes.
• Support A/P processes involving purchase orders, subcontractors, AIA billing, and retainage.
• Maintain accurate electronic and physical filing systems, including daily and year-end records.
• Track and reconcile use tax.
• Monitor receipts and reconcile company credit card activity.
• Ensure accounting transactions are processed accurately and within appropriate accounting periods.
• Work closely with project managers, owners, and accounting team members to resolve invoice and coding questions.
• Manage multiple priorities while maintaining a high level of accuracy and organization.

Key Responsibilities

• Solid understanding of accounting principles and accounting dates
