About The Role
The Accounts Payable (AP) Specialist is responsible for the accurate and timely match and processing of vendor invoices and payments, ensuring compliance with company policies and procedures. This role involves verifying, matching, and coding invoices and expenses, entering data into accounting systems, and reconciling vendor accounts. In addition, the specialist role serves as expense reporting and credit card administrator as well as travel coordinator.
Essential Duties
- Verify, process, and post both purchase order-backed and non-PO accounts payable invoices
- Properly code and post accounts payable invoices
- Reconcile vendor statements
- Code and process expense reports as assigned
- Comply with company policies, accounting standards, and relevant regulations.
- Meet Key Performance Indicators (KPIs) for volume, timeliness, and accuracy
- Administer the expense reporting and procurement card processes including card distribution and monitoring as well as employee setup and card expense coding
- Make travel arrangements for employees
- Provide superior customer service
- Verify expense reports and procurement card purchases against policy.
- Maintain vendor records, accounts payable balances, and general ledger balances to ensure accuracy.
- Comply with company policies, accounting standards, and relevant regulations.
Additional Duties
- Assist with payment runs including check, ACH, and credit card
- Answer the phone and respond to inquiries from vendors and internal staff
- Assist the manager with the audit requests and provide supporting documentation
Qualifications
- Associate or bachelor’s degree preferred
- Strong understanding of Microsoft Office
Skills and Competencies:
- Strong, accurate data entry skills
- Good mathematical and analytic skills
- Attention to detail and accuracy
- Knowledge of accounting principles
- Proficiency in DocStar, Ancora, and Karmak is preferred
- Ability to work independently and as part of a team
- Excellent communication and interpersonal skills
- Some experience in accounts payable or accounting is preferred
- Experience in expense reporting and credit card administration
