Job summary

Ethos Veterinary Health is seeking an Accounts Payable Specialist for an on-site, part-time role in Monroeville, PA. You will handle invoice processing, payments, AR tasks such as client payments, CareCredit, Trupanion, and maintain accurate financial records.

The position offers 4 five-hour shifts per week with starting times between 8am and noon. You will work with Dayforce and other platforms, supporting month-end close and ensuring accuracy and timely reporting.

Qualifications

• High school diploma or equivalent required; associate degree preferred.
• 2+ years experience in accounts payable/receivable, bookkeeping, or general accounting.
• Experience with ERP systems; Dayforce/CareCredit/Trupanion familiarity a plus.
• Strong Excel skills and data accuracy; able to work with financial reports.

Responsibilities

• Manage full accounts payable process: invoice processing, GL coding, approvals, vendor payments.
• Reconcile vendor accounts and resolve discrepancies; maintain accurate records.
• Process accounts receivable transactions: client payments, insurance payments, and related items.
• Assist with month-end close activities and audits; support financial reporting.

Accounts Payable Specialist

Location: Monroeville, PA -

In Your Day-to-Day, You Will

• Manage the full accounts payable process, including invoice processing, GL coding, approvals, and timely vendor payments.
• Reconcile vendor accounts, resolve payment discrepancies, and maintain accurate financial records and documentation.
• Process accounts receivable transactions, including client payments, employee billing, CareCredit, Trupanion, Scratch Pay, insurance payments, and mailed checks.
• Research and resolve outstanding balances, unapplied payments, chargebacks, returned checks, and other account discrepancies.
• Support month-end close activities by assisting with reconciliations, financial reporting, audits, and compliance documentation.
• Prepare refunds, payroll deductions, weekly cash deposits, and other routine financial transactions.
• Maintain vendor files, W-9s, CareCredit reporting, and audit-ready financial documentation.
• Serve as a trusted resource for client financial inquiries and collaborate with hospital leadership on account reporting and financial updates.
• Train and support Client Care Coordinators on financial workflows, billing processes, and hospital financial policies.
• Partner with cross-functional teams to continuously improve financial processes while ensuring accuracy, efficiency, and exceptional service.

What You Bring

• High school diploma or equivalent required; an associate's degree in Accounting, Finance, or a related field is preferred.
• At least 2 years of experience in accounts payable, accounts receivable, bookkeeping, or general accounting.
• Experience working with accounting or ERP systems; familiarity with Dayforce, CareCredit, Trupanion, or similar platforms is a plus.
• Strong Microsoft Excel skills and comfort working with financial reports and data.
• Exceptional attention to detail with the ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
• Strong organizational, problem-solving, and analytical skills.
• Excellent communication and customer service skills, with the ability to interact professionally with clients, vendors, and internal teams.
• A collaborative mindset and commitment to accuracy, integrity, and continuous improvement.
