Job summary

Life Enriching Communities is seeking an AP Specialist to manage end-to-end accounts payable activities, ensuring accurate processing and timely payments to vendors. The role supports cash flow control and maintains vendor relationships within a not-for-profit senior living setting.

On-site in Loveland, OH, with a hybrid schedule: full-time, 8:00am–5:00pm, Monday through Wednesday on-site, Thursday and Friday remote.

Qualifications

• High school diploma or equivalent required.
• Previous accounts payable experience preferred.
• Proficiency with Microsoft Office (Excel, Word).
• Knowledge of 1099s helpful.
• Organized, detail-oriented with customer-service focus.

Responsibilities

• Oversees all invoices processing through the AP system, including entry, routing, approval, and export to the financial management system for payment.
• Develops deep understanding of vendors and the responsible internal contacts for routing invoices.
• Prints and distributes manual AP checks.
• Sets up electronic banking payment information (bulk load ACH) for vendors when applicable and prepares invoices for electronic payment.
• Processes AP credit card and ACH payments; responds to vendor inquiries.
• Maintains AP reports, spreadsheets, and files.
• Closes month-end AP per the schedule provided by Senior Manager, Accounting.
• Performs analysis of accounts as required.
• Prepares and files all Form 1099s.

You, our Ideal Candidate

At Life Enriching Communities, we rely on a meticulous financial system to drive our business forward. The Accounts Payable (AP) department keeps that system running smoothly by managing cash flow and paying vendors and suppliers. The AP Specialist helps process, track, and record payments in an accurate, efficient, and timely manner, and will have a daily, ongoing impact on financial transactions, keeping us on track, on time, and on good terms with our valued partners. This position requires a well-organized and analytical professional with an open and approachable demeanor.

Responsibilities

• Oversees all invoices processing through the Company’s automated AP system, including invoice entry, routing, approval, and exporting into the Company’s financial management system for payment.
• Must obtain an in-depth understanding of all vendors and who within the Company is responsible for the vendor (for invoice routing purposes)
• Prints and distributes manual accounts payable checks
• Establishes electronic banking payment information (bulk load ACH) for vendors (when applicable), and prepares such invoices for electronic payment
• Processes all AP credit card and auto-pay / ACH payments
• Responds to all vendor inquiries
• Maintains all accounts payable reports, spreadsheets and corporate accounts payable files
• Closes month end Accounts Payable, according to accounting schedule provided by Senior Manager, Accounting.
• Prepares analysis of accounts, as required
• Prepares and files / mails all Form 1099s

Requirements

• High School Diploma or equivalent
• Previous experience in accounts payable
• Microsoft office (Excel, Word) proficiency
• Knowledge of 1099s
• Organized, detail oriented and customer service focus
