Commercial Express HVAC is seeking an Accounts Payable Coordinator to help keep our financial operations accurate and on schedule. This onsite role emphasizes precision, organization, and timely vendor payments in a collaborative environment.

You'll review invoices, code them in our accounting system, reconcile statements, prepare payments, and support 1099 documentation while maintaining confidentiality and teamwork across departments.

Qualifications

• High school diploma or equivalent required.
• At least 2 years of Accounts Payable or related accounting experience.
• Strong attention to detail and time-management skills.
• Comfort using accounting systems and general business software.
• Preferred: experience calculating or generating use tax.
• Preferred: familiarity with subcontractors and preparing 1099 documentation.

Responsibilities

• Review and process vendor invoices with accuracy.
• Match invoices with purchase orders and code them in the accounting system.
• Prepare and process payments, including printing and mailing checks with documentation.
• Reconcile vendor statements and investigate discrepancies.
• Communicate with vendors and internal teams to answer questions or resolve issues.
• Assist with subcontractor documentation needed for annual 1099 preparation.
• Reconcile company credit card statements.
• Calculate and generate use tax when required.
• Maintain strict confidentiality of financial and company information.
