\"When you work in Hawaii, in addition to learning about the functional aspects of running a hotel — like the proper way to make a bed or how to best handle luggage — it’s critically important to understand Hawaiian culture and the spirit of ‘ohana, or ‘family.’ When opening the first Andaz property in Hawaii, our team participated in Hawaiian culture training to help us understand what ‘ohana truly means. \"

The Carolina Inn, a Hyatt property, is seeking a detail-oriented, organized, and motivated Accounts Payable Clerk II to join our Finance team. This position is responsible for executing the accounts payable cycle, ensuring accurate and timely invoice processing, vendor account reconciliation, payment execution, and compliance with Hyatt financial policies and procedures.

The Accounts Payable Clerk II plays an essential role in maintaining accurate financial records, supporting month-end closing activities, and ensuring the smooth and efficient operation of the Accounting Department. The ideal candidate demonstrates strong attention to detail, excellent organizational skills, and a commitment to providing exceptional service to internal colleagues and external business partners.

Essential Duties and Responsibilities
Accounts Payable & Invoice Processing
  • Receive, review, code, and process vendor invoices accurately and in a timely manner, ensuring compliance with Hyatt accounting policies, contractual terms, and established payment schedules.
  • Verify invoice accuracy, appropriate approvals, supporting documentation, and proper general ledger account coding prior to processing.
  • Review vendor statements, reconcile supplier accounts, investigate discrepancies, and resolve outstanding balances.
  • Monitor accounts payable aging and outstanding invoices to ensure timely payment and prevent duplicate or late payments.
  • Coordinate and execute vendor payments in accordance with established internal controls and payment procedures.
  • Maintain organized and accurate accounts payable records, including invoices, payment documentation, and vendor correspondence.
Financial Reporting & Month-End Support
  • Assist with month-end and year-end closing procedures, including the identification and preparation of expense accruals.
  • Research and resolve invoice discrepancies, outstanding liabilities, and general ledger coding issues.
  • Support the reconciliation of accounts payable balances and related general ledger accounts.
  • Assist the Director of Finance and Accounting team with accounts payable reporting, audit requests, and financial reconciliations.
  • Ensure accurate expense recognition and proper allocation of costs across hotel departments.
  • Serve as a primary point of contact for vendors regarding invoice inquiries, payment status, account discrepancies, and outstanding balances.
  • Build and maintain professional relationships with vendors and hotel department leaders to facilitate timely issue resolution.
  • Collaborate with Purchasing, Receiving, Food & Beverage, Engineering, and other hotel departments to ensure proper invoice approvals and accurate expense allocations.
  • Follow up with department leaders regarding missing invoices, purchase orders, receiving documentation, and outstanding approvals.
  • Provide responsive and professional service to internal colleagues and external business partners.
Accounts Payable Compliance & Process Improvement
  • Maintain accurate, confidential, and organized financial records in accordance with Hyatt policies and record retention requirements.
  • Ensure compliance with established accounting procedures, internal controls, and applicable financial regulations.
  • Identify opportunities to improve accounts payable workflows, strengthen internal controls, and increase processing efficiency.
  • Support the implementation of process improvements to enhance invoice accuracy, payment timeliness, and vendor account management.
  • Perform additional accounts payable and accounting-related duties as assigned by the Director of Finance.
We offer excellent benefits:
  • 12 free room nights after 90 days of service, Discounted and Friends & Family Room Rates upon hire
  • Medical, Prescription, Dental and Vision Insurance after 30 days of employment
  • 401K with company match

  • Paid Family Bonding Time (8 weeks, primary caregiver; 2 weeks, supportive caregiver) and Adoption Assistance
  • Tuition Reimbursement
  • 50% discount in Crossroads
  • 20% discount in gift shop (exception: jewelry, UNC items, alcohol)
  • Employee Stock Purchase Plan
  • Discounts at various retailers – Apple, AT&T, Verizon, Headspace and many more

  • Minimum of two years of experience in Accounts Payable, Accounting, or a related finance function is highly desirable.
  • Previous experience in a hotel, hospitality environment, or similar high-volume accounting operation is highly desirable.
  • Experience with invoice processing, vendor account reconciliations, payment processing, and month-end closing procedures.
