Company Overview

Position Overview

The successful candidate will perform various clerical responsibilities within the Accounts Payable department, including high-volume data entry.

Key Responsibilities

  1. Audit invoices and check requests for authorized signatures and proper backup.
  2. Resolve discrepancies between invoices and purchase orders.
  3. Process invoices and check requests accurately in Viewpoint and Proactis systems.
  4. Create and mail payments and handle miscellaneous bulk mailings.
  5. Maintain and update vendor files.
  6. Handle calls from vendors and internal customers.
  7. Process Unclaimed Funds, Open Credits, and P-cards.

Other Requirements

  • Maintain professionalism and courtesy at all times.
  • Willingness to work nights and weekends as needed.
  • Arrive at the job site prepared to work at scheduled times.
  • Follow safety procedures and company policies diligently.
  • Work collaboratively with team members and assist with other duties as required.
  • Ensure timely attendance and adherence to work schedules.
  • Proficiency with Windows, Outlook, Excel, and Word.
  • Overtime may be required during peak seasons.
  • Potential travel between office locations.

Qualifications

High school diploma or equivalent, with up to six months of related experience or training; associate degree preferred. Basic understanding of Accounts Payable and proficiency in data entry are essential.

Skills

  • Ability to read and interpret safety and operational documents.
  • Ability to write routine reports and correspondence.
  • Strong mathematical skills and ability to interpret data visually.
  • Reasoning skills to follow instructions and solve problems.
  • Proficiency in Microsoft Office and familiarity with purchase order systems.

Physical Requirements

Continuous use of fine motor skills, sitting, repetitive motions, and lifting up to 10 lbs. Frequently standing, walking, and handling objects. Occasionally lifting up to 50 lbs. with assistance. Vision requirements include distance, peripheral, and depth perception. Work environment is a standard office setting, mostly quiet, with occasional exposure to noise and equipment.
