Job description

Job Title: Accounts Payable Clerk

We are seeking an Accounts Payable clerk to oversee and coordinate all Accounts Payable functions using Bill.com, online payment portals, and QuickBooks Online. The AP clerk will be responsible for receiving and processing invoices promptly through Bill.com, including vendor invoices, rent, utilities, carrier payments, insurance, refunds to customers, and escalating urgent payments to the Controller. The position reports directly to the Controller.

Responsibilities:

• Manage daily requests from vendors, research, and resolve issues promptly.
• Add new vendors following AP policies.
• Process mail and incoming invoices daily, including coding and submitting for approval via Bill.com.
• Manage approvals and escalate non-approvals weekly.
• Process carrier payments weekly.
• Handle mileage, refunds to customers, online payments, and union dues.
• Maintain proven experience as an Accounts Payable clerk or accountant.
• Apply in-depth knowledge of corporate finance and accounting principles.
• Proficiency with QuickBooks Online or similar systems is required.
• Exhibit excellent organizational and time management skills.
• Display outstanding communication and interpersonal abilities.
• Hold a BS/BA in accounting, finance, or a relevant field (preferred).
• Be proficient in MS Office and financial management software such as QBO, Bill.com, and Expensify.
• Communicate effectively with staff, clients, and consultants both verbally and in writing.
