Job summary

A-Tex Restaurant Supply, Inc. is seeking an On Site Accounts Payable Clerk to join our accounting team in Texas. This full-time role supports the Accounting Manager by ensuring timely processing of vendor invoices, PO matching, and payment transactions.

You will collaborate with Purchasing and Inventory to reconcile shipments against invoices and maintain AP records in our ERP system. The ideal candidate has 1–3 years in AP and strong Excel/ERP skills.

Qualifications

• High school diploma or equivalent.
• 1–3 years accounts payable or general accounting experience (distribution/retail a plus).
• Proficiency with Adobe, Excel and ERP software (QB, Sage, NetSuite or similar).
• Strong attention to detail and accuracy in data entry.
• Solid understanding of basic accounting principles related to AP.
• Excellent organizational and time-management skills.
• Strong written and verbal communication skills.
• Ability to work independently and manage multiple priorities in a fast-paced environment.
• Team player with a professional, positive attitude.
• Familiarity with PO and inventory receiving processes preferred.

Responsibilities

• Review, verify, and process vendor invoices for accuracy (3-way match).
• Code invoices to GL accounts and cost centers.
• Enter and maintain AP records in the ERP system.
• Prepare and process weekly bill runs.
• Reconcile vendor statements and resolve discrepancies.
• Communicate with vendors and internal staff to resolve disputes promptly.
• Maintain organized digital and physical invoice records.
• Assist with month-end close, including AP accruals and reconciliations.
• Respond to inquiries regarding account status and payment history.

We're looking for a detail-oriented Accounts Payable Clerk to join our growing accounting department.

Position Summary

The Accounts Payable Clerk will work with the Accounting Manager to ensure timely and accurate processing of vendor invoices, purchase order matching, and payment transactions. This role works closely with the Purchasing and Inventory teams to reconcile incoming inventory and equipment shipments against invoices.

Key Responsibilities

• Review, verify, and process vendor invoices for accuracy, matching against purchase orders and receiving documents (3‑way match)
• Code invoices to appropriate general ledger accounts and cost centers
• Enter and maintain accurate accounts payable records in the accounting/ERP system
• Prepare and process weekly bill runs
• Reconcile vendor statements and resolve discrepancies, pricing issues, and shipping/receiving variances
• Communicate with vendors and internal purchasing staff to resolve invoice disputes in a timely manner
• Maintain organized digital and physical records of invoices, POs, and payment documentation
• Assist with month‑end close, including AP accruals and account reconciliations
• Respond to internal and external inquiries regarding account status and payment history

Qualifications

• High school diploma or equivalent required
• 1–3 years of accounts payable or general accounting experience (experience in distribution, wholesale, or retail environment a plus)
• Proficiency with Adobe, Microsoft Excel and accounting/ERP software (e.g., QuickBooks, Sage, NetSuite, or similar; experience with distribution/inventory systems a plus)
• Strong attention to detail and accuracy in data entry
• Solid understanding of basic accounting principles, particularly related to AP
