Job summary

Ocean Optics in Orlando, FL seeks an Accounts Payable Clerk to process, track and record payments for our U.S. operations. Reporting to the Director of Finance, you will ensure timely, accurate invoicing and vendor payments.

Responsibilities include three-way matching, coding invoices, entering into ERP, reconciling vendor statements and assisting month-end close. Ideal candidates have 5+ years in AP, strong Excel (pivot, VLOOKUP), and a collaborative, detail-focused mindset.

Qualifications

  • 5+ years of accounts payable experience preferred in a manufacturing environment.
  • Knowledge of AP procedures, data entry, and general accounting.
  • Proficient in Excel with pivot tables and lookup functions.
  • Experience with Microsoft Dynamics D365 is a plus.

Responsibilities

  • Assemble, review, and verify invoices and payment requests.
  • Perform three-way match with Purchasing and vendors; resolve discrepancies.
  • Code invoices to GL accounts and cost centers; ensure approvals.
  • Enter and upload invoices into the ERP system and process electronic payments.
  • Reconcile vendor accounts and assist month-end close.

About the Opportunity

Join world-class experts in finding answers to our customers’ toughest questions as our Accounts Payable Clerk. We are searching for a skilled financial specialist to join our team to help process, track, and record payments in an accurate, efficient, and timely manner. The Accounts Payable Clerk will have both a day-to-day and ongoing impact on financial transactions, keeping us on track, on time, and on good terms with our valued partners. This role is based in Orlando, Florida and supports our U.S. operations. Reporting directly to the Director of Finance, this role will be responsible for:

  • Assembling, reviewing, and verifying invoices and payment requests.
  • Performing three-way match; working with Purchasing and/or vendors to research and resolve any discrepancies.
  • Identify and resolve any unusual or questionable invoice items or prices.
  • Coding invoices with appropriate general ledger account, cost center, etc.
  • Ensuring all approvals are received in compliance with Delegation of Authority.
  • Entering and/or uploading invoices into the ERP system.
  • Preparing and processing electronic transfers and payments.
  • Reconciling vendor accounts to monthly statements.
  • Maintenance of vendor files.
  • Corresponding with vendors and responding to inquiries.
  • Supporting the month end close process, including reconciling the subledger and monthly schedules due to parent company.
  • Preparing and filing IRS Form 1099.
  • Providing supporting documentation for audits.
  • Maintaining confidentiality of organizational information.
  • Other duties as assigned.
About the Candidate

The ideal candidate will bring a wealth of Accounts Payable experience and should possess:

  • Knowledge of accounts payable and general accounting procedures.
  • Proficient in data entry and management.
  • High level of organization, data storage, retrieval skills, and follow up.
  • Attention to detail.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Quick to learn and willing to delve into the details to find issues.
  • Ability to work with other teams to solve issues, building relationships with internal and external stakeholders.
Minimum Qualifications
  • Associate’s degree in accounting or the equivalent 5+ years’ experience in accounts payable, preferably in a manufacturing environment
  • Knowledge of Excel (Pivot tables and VLOOKUP) and other Microsoft Office applications.
  • Experience with Microsoft Dynamics D365 a plus.
