The University of Montevallo seeks an Accounts Payable specialist to support financial operations by performing data entry and vendor communication. Candidates should possess strong organizational and analytical skills, ideally with a relevant degree and experience in accounts payable. This role emphasizes customer service and collaboration within a dynamic environment.
The purpose of this position is to perform duties of Accounts Payable data entry for all approved payment requests, assist Accounts Payable Analyst in day to day operations, customer support, inquiries, file maintenance documentation, and customer service to UM campus.
1. Track monthly statements submitted by vendors for past-due payments, etc. Communicate with vendors and/or department representatives to resolve discrepancies and ensure prompt and accurate payment of invoices.
2. Assist with the testing protocol for accounts payable computer enhancements to ensure compliance with the established payment procedures.
3. Assist with keeping all files organized and accurate.
4. Scanning and maintaining files, including checks, direct deposits, and other files as needed.
5. Collect, open, sort, and distribute mail for accounting service areas.
6. Stuff checks in envelopes each week after check runs.
7. Provide service and support to business office customers and callers, answering phones, responding to inquiries and e-mails, and providing prompt and professional assistance to ensure customers’ needs are met.
10. Assist in file maintenance and documentation for record retention requirements.
11. Participate in professional development opportunities; maintain and update computer skills to ensure efficient and effective customer service.
12. Assist with IRS 1099 compliance and preparation of filing of annual 1099 forms, including making calls for direct deposit verification and W-9s and other vendor needs.
13. Assist Accounts Payable Analyst in daily processing, including but not limited to accurately preparing invoices, and verifying data entry information.
14. Assist with vendor maintenance and compliance.
15. Assess the need for office supplies, make requests as needed, and maintain toner and paper supplies for the office copier.

Ability to conduct research, address discrepancies, and resolve problems within defined parameters.
Education and Experience
High School Diploma/ GED . Associates or Bachelor’s Degree in Business or Accounting or other related field is preferred.
