The Accounting Support Specialist is a key member of the Client Accounting and Advisory Services (CAAS) team, serving as a liaison between clients, internal accountants, and other departments. This role supports client onboarding, manages essential accounting tools such as Bill.com, assists with payroll processes, provides light bookkeeping support, and facilitates administrative operations to ensure the smooth delivery of client services. The Accounting Support Specialist enhances team efficiency and client satisfaction, allowing CPAs and accounting professionals to focus on strategic and high-value tasks.

Position Reports to

The Accounting Support Specialist is a member of the Client Accounting and Advisory Services team, reporting to the CAAS Director.

Responsibilities

  • Process and manage client payables and receivables using Bill.com
  • Provide light bookkeeping support including data entry, reconciliations, and coding of transactions
  • Assist with payroll coordination, including time tracking reviews, submission support, and liaising with payroll vendors
  • Support compliance filings and documentation collection (e.g., W-9s, 1099s)
  • Assist with monthly close support activities such as gathering client financial data
  • Track ongoing project timelines and deliverables, update project management tools accordingly
  • Provide administrative assistance in software and platform troubleshooting
  • Assist with the client onboarding process and attends client-kick off meetings
  • Assist with the engagement letter process and facilitates final signatures
  • Sets clients up in systems and trains client on portal and other technologies; keeps client information current over time
  • Assist with scheduling client meetings; organizes data ahead of time; coordinates attendance by team members
  • Respond to client requests and routes to the correct team member
  • Assist with clients to ensure documents and other information required for the client engagement are ready as needed
  • Assist with client offboarding and closing out of files
  • Troubleshoot and provide solutions to software applications meant for accounting services
  • Assist with proposal development, presentations, and other administrative needs during the sales process
  • Attends department and firmwide meetings as scheduled
  • Manages project scheduling
  • Prepares Word documents, Excel spreadsheets, and PowerPoints as requested
  • Other projects as assigned


Core Schedule

  • Monday – Friday at an agreed-upon schedule between the Accounting Support Specialist and CAAS Director
    • Additional support may be needed at times outside of the core schedule. These requests will be made sufficiently in advance for planning purposes

  • High proficiency in Microsoft Office, particularly Excel and Outlook; PowerPoint is a plus
  • Ability to manage multiple priorities and meet deadlines across concurrent projects

Education And Experience

  • Minimum 3 years of administrative or accounting support experience
  • Bachelor’s degree in business administration or accounting preferred
  • Experience with a public accounting or professional services firm highly preferred
  • Familiarity with Bill.com, QuickBooks Online, ADP, or similar payroll platforms is a must


Physical Requirements

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
