Job summary

Mac Haik Southway Ford in Von Ormy, TX is seeking an Accounting Clerk to perform basic and routine accounting functions, maintain AP/AR records, reconcile statements, and process payments. The role supports month-end close and helps ensure accurate financial reporting.

Candidates should have dealership experience, proficiency with Microsoft Office, and knowledge of CDK/ADP DMS. The position offers a stable, full-time schedule with opportunities for advancement within the Mac Haik Automotive

Qualifications

• High school diploma or equivalent.
• Microsoft Office (Outlook, Excel) required.
• DMS knowledge (CDK/ADP) preferred.
• Must be able to operate standard office equipment.
• Authorization to work in the USA.
• Successful completion of pre-employment screening.

Responsibilities

• Reconciles statements and ledgers ensuring alignment with dealership schedules.
• Bills new and used vehicle deals and posts into accounting.
• Organizes paperwork in each deal and checks for completeness.
• Communicates cash requirements for payable dates to the office manager.
• Reconciles bank balances daily.
• Verifies rebates and incentives and collects them.
• Supports warranty and aftermarket submissions with the Warranty Administrator.
• Aids month-end close with review of GL accounts and accurate statements.
• Assists with month-end tear-downs and filing.
• Assists with collections on past-due accounts.
• Takes necessary collections actions and coordinates with agencies.
• Facilitates daily bank deposits and processes payments.
• Processes accounts payable including invoices, vendor setup, payments, and disputes.
• Records vendor information for 1099 reporting.
• Provides backup receptionist coverage as needed.
• Maintains professional appearance and adheres to training requirements.
• Upholds ethical business practices and company branding.
• Performs other duties as assigned.

Accounting Clerk

The Accounting Clerk position performs basic and routine accounting functions. The position complies and maintains verified accounts payable and accounts receivable records, reconciles statements, issues payment to venders, and monitors accounting actions. The Accounting Clerk is responsible for accurately recording sold units and for processing accounts payable payments.

Skills / Qualities Preferred Include

• Must have minimum 5 years dealership experience

Essential Duties and Responsibilities

• Reconciles statements and ledgers making sure that payments are consistent with dealership schedules.
• Bill new and used vehicle deals and post into accounting.
• Organize paperwork in each deal and check for completeness.
• Communicates to the office manager cash requirements for the payable dates.
• Reconciles bank balances on a daily basis.
• Rebate and incentive verification and collection.
• Works closely with Warranty Administrator on submission of all warranties and aftermarket and handling of warranty and aftermarket cancellations.
• Support month-end close with review of general ledger accounts for missing or incorrect information and completion of accurate monthly financial statements.
• Assist with month end closing tear downs and filing.
• Assist with collections on past due accounts.
• Takes necessary collections actions; follows up with agency and department heads.
• Facilitates daily bank deposit.
• Applies payments and sends out monthly statements.
• Accounts payable activities including data entry of invoices, new vendor setup, payment, statement reconciliation and dispute resolution.
• Records vendor information for 1099 reporting.
• Provide backup receptionist coverage, as needed.
• Maintain professional personal appearance.
• Complete required training assigned through the company training portal.
• Adhere to consistent and reliable work schedule.
• Demonstrate ethical business practices and integrity in all interactions to uphold the Mac Haik Automotive group brand.
• Effectively perform duties and responsibilities in a safe manner.
• Other duties as assigned.
