Job summary

Vaco by Highspring, a Cincinnati-based consulting firm, is seeking an AR/Billing professional to manage client invoices and maintain accuracy across projects.

The role collaborates with Project Managers, engineers, and external customers, handling complex billing structures and ensuring timely payments.

Candidates should have 4–6 years of experience, strong Excel skills, and ERP experience beyond QuickBooks, such as Vantage Point.

Qualifications

• 4–6 years of experience in AR/Billing in project-based environments such as engineering, construction, consulting, or legal.
• Significant experience with customer invoicing, preferably in a larger organization.
• Experience with complex billing structures (time & materials, fixed billing, project-based, or client-specific).
• Strong understanding of billable vs. non-billable work.
• Experience collaborating with Project Managers and external customers.
• Excellent communication and customer service skills in a highly collaborative role.
• Strong attention to detail and ability to maintain accuracy with high invoice volume.
• Experience with an ERP system other than QuickBooks; Vantage Point experience is a plus.
• Intermediate Excel skills and willingness to advance.

A Cincinnati-based engineering consultancy providing full-service engineering, procurement, and construction management (EPCm) services to industrial process manufacturers. The company supports clients across industries including pulp & paper, chemical, consumer packaged goods, food & beverage, power, and heavy industrial markets. Key Responsibilities

• Generate client invoices based on projects and billable work.


• Work with engineers to ensure timesheets are accurately entered.


• Respond to email requests and calls from clients and Project Managers.


• Manage the project lifecycle, including project setup, funding, billing, and closing.


• Process Purchase Orders.


• Accurately post and allocate incoming payments to the appropriate invoices.


• Perform checks and analyze reports to ensure billing accuracy.


• Assist with month-end general ledger account reconciliations and other closing processes.


• Assist leadership with reporting.


• Complete on-demand analysis and reporting requests.


• Work closely with Project Managers and customers to address billing questions and ensure accurate, timely invoicing.

What They’re Looking For in a Candidate

• 4-6 years of experience in AR/Billing, ideally in a project-based or professional services environment such as engineering, construction, consulting, or legal.


• Significant experience with customer invoicing, preferably within a larger organization.


• Experience with complex billing structures such as time & materials, fixed billing, project-based billing, or client-specific billing requirements.


• Strong understanding of billable vs. non-billable work.


• Experience working with Project Managers and external customers.


• Excellent communication and customer service skills; this is a highly collaborative role and requires regular interaction with others.


• Strong attention to detail and the ability to maintain accuracy while handling a high volume of invoices.


• Strong organizational and problem-solving skills.


• Experience working with an ERP system other than QuickBooks; Vantage Point experience is a plus.


• Intermediate Excel skills with the willingness to continue developing advanced Excel skills.
