Job summary

ShipRock Management is seeking an Accounting Assistant to join our finance team. This full-time on-site role supports the Accountant and Office Manager through accurate data entry, invoicing, accounts payable and receivable, and bank reconciliations.

You will help prepare monthly and annual financial reports, track expenses, maintain filing systems, and ensure compliance with company policies and regulatory requirements.

Qualifications

  • High school diploma or equivalent; associate’s degree preferred.
  • 1–2 years of accounting or bookkeeping experience.
  • Strong knowledge of accounting principles and practices.
  • Proficiency in QuickBooks and MS Office; experience with Google Docs.
  • Excellent attention to detail and accuracy in data entry.
  • Strong organizational and time-management skills.
  • Good written and verbal communication.
  • Ability to work independently and as part of a team.

Responsibilities

  • Data Entry: Enter financial transactions into accounting software and maintain records.
  • Accounts Payable: Process invoices, match PO to invoices, and prepare checks.
  • Accounts Receivable: Assist with billing, send invoices, and follow up on receivables.
  • Bank Reconciliations: Reconcile bank statements and resolve discrepancies.
  • Financial Reporting: Help prepare monthly, quarterly, and annual reports.
  • Expense Tracking: Monitor and document company expenses.
  • Filing and Documentation: Maintain organized financial filing systems.
  • Support: Provide admin support to Accountant and Office Manager.
  • Compliance: Ensure compliance with policies, standards, and regulatory requirements.
  • Other Duties as Assigned.

Position Overview

The Accounting Assistant at ShipRock Management supports the finance department by performing a variety of accounting and administrative tasks. This role requires strong attention to detail, organizational skills, and the ability to manage multiple tasks simultaneously. The Accounting Assistant works closely with the Accountant to both the Accountant and the Office Manager.

Key Responsibilities
  • Data Entry: Accurately enter financial transactions into accounting software and maintain up-to-date financial records.
  • Accounts Payable: Process invoices, match purchase orders to invoices, and prepare checks for payment.
  • Accounts Receivable: Assist with the billing process, prepare and send invoices, and follow up on outstanding receivables.
  • Bank Reconciliations: Assist in reconciling bank statements and resolving discrepancies.
  • Financial Reporting: Help prepare monthly, quarterly, and annual financial reports, ensuring accuracy and completeness.
  • Expense Tracking: Monitor and record company expenses, ensuring proper documentation and adherence to budget guidelines.
  • Filing and Documentation: Maintain organized and accurate filing systems for financial documents and records.
  • Support: Provide administrative support to the Accountant and other finance team members as needed.
  • Compliance: Assist with ensuring compliance with company policies, accounting standards, and regulatory requirements.
  • Other Duties as Assigned.
Qualifications
  • Education: High school diploma or equivalent required; associate’s degree in accounting, finance, or a related field preferred.
  • Experience: Minimum of 1-2 years of experience in a similar accounting or bookkeeping role.
  • Skills:
    • Strong knowledge of accounting principles and practices.
    • Proficiency in accounting software (e.g., QuickBooks) and Microsoft Office Suite (Excel, Word, Outlook), Google Docs.
    • Critical Thinking , flexibility and adaptation skills.
    • Excellent attention to detail and accuracy in data entry.
    • Strong organizational and time-management skills.
    • Good communication skills, both written and verbal.
    • Ability to work independently and as part of a team.
Certifications
  • Any relevant certifications (e.g., Bookkeeping, Accounting Technician) are a plus.
Other Requirements
  • Ability to maintain confidentiality and handle sensitive financial information.
  • Must be of age 18 or older
  • Ability to pass a background check.
Work Environment
  • Schedule: Full-time position with regular working hours. Occasional overtime may be required during peak periods.
  • On site required.
  • Physical Demands: Primarily a desk job with occasional light lifting of files and documents.
Performance Metrics
  • Accuracy: Maintain a high level of accuracy in financial data entry and reporting.
  • Timeliness: Ensure timely processing of invoices, payments, and reconciliations.
  • Compliance: Adhere to company policies and accounting standards, maintaining compliance in all financial activities.
  • Support: Effectively support the Operations manager and CFO, contributing to overall department efficiency.
