Job summary

Eventus WholeHealth in Concord, NC is seeking an Accounting and Administrative Specialist who combines hands-on accounting with administrative support. This role processes accounts payable, maintains vendor records, and coordinates employee expenses and reimbursements while ensuring compliance across multi-state entities.

You will also assist with travel/vehicle programs, vendor contracts, audits, and departmental communications to keep operations running smoothly and accurately.

Qualifications

  • Associate's degree in Accounting or related field preferred; or a minimum of 3 years related administrative experience.
  • Experience with ERP/accounting systems (Sage Intacct or similar) preferred.
  • Experience with Bill.com and SAP Concur preferred.

Responsibilities

  • Process accounts payable invoices with proper approvals, coding, and supporting docs.

Position Summary:

The Accounting & Administrative Specialist plays a key role in supporting the Accounting and Administrative function by combining hands‑on accounting activities with operational, administrative, and compliance support. This position is responsible for accounts payable processing, departmental organization, and vendor contract and compliance tracking

Process accounts payable invoices, ensuring proper approval, coding, and supporting documentation prior to payment.

Maintain vendor master records, including W-9 collection and 1099 reporting compliance.

Process employee expense report reimbursements and maintain company credit card expense reports; record the related transactions in the general ledger and reconcile to the credit card statement.

Administer provider travel and vehicle programs, including travel reimbursements, monthly travel allowances, travel mapping and scheduling, and vehicle maintenance tracking.

Support Finance and Legal leadership in maintaining timely and accurate records; maintain organized financial records for audits, compliance reviews, and internal reporting.

Manage departmental correspondence, including incoming/outgoing mail, filing, and document retention (electronic and physical).

Serve as the liaison between the accounting department and other functional areas to ensure smooth communication and timely completion of requests.

Assist with vendor contract administration, including logging, filing, and tracking key vendor agreements and renewals.

Maintain legal entities across multiple states, including required Secretary of State filings, entity registrations, and licensure.

Assist the Accounts Payable Manager with vendor inquiries, payment research, and documentation of accounts payable and administrative processes

Qualifications: Education, Licensure and Certifications, Related Work Experience:

  • Associate's degree in Accounting, Business Administration, Finance, or related field preferred; or a minimum of 3 years of related administrative experience required.
  • Experience with ERP/accounting systems (Sage Intacct, or similar) preferred.
  • Experience with Bill.com and SAP Concur preferred.

Documentation and Record Keeping:

  • Maintain accurate and complete documentation when performing the job duties.
  • Ensure that all Eventus WholeHealth information, data, documentation, and records are always safeguarded and maintained confidentially.

Training and Education:

  • Participate in all assigned training.
  • Complete all assigned training by the deadline for completion.

Risk Management and Incident Reporting:

  • Engage in regular risk assessments to identify potential risks and work proactively with a supervisor and Eventus WholeHealth's Chief Compliance and Risk Officer to mitigate any identified risks.
  • Promptly report any incidents (as defined in the "Incident Report Policy") to the Chief Compliance and Risk Officer
