Role Description

The Accounting Administrative Assistant is a full-time, on-site role based in Crystal River, FL. This position supports the finance and administrative functions by processing invoices, maintaining financial records, and assisting with routine accounting tasks such as data entry, reconciliations, and filing. Day-to-day responsibilities include managing incoming and outgoing correspondence, organizing documents, scheduling and coordinating meetings, and supporting office operations to ensure accurate and timely financial reporting. The role also involves working with accounting software, preparing basic reports, assisting with vendor and donor record management, and collaborating with staff to uphold internal controls and compliance with organizational policies.


Qualifications


  • Strong Administrative Assistance skills, including organizing records, managing correspondence, and supporting daily office operations.

  • Foundational Accounting and Finance skills, with the ability to handle basic bookkeeping, reconciliations, and transaction tracking.

  • Proficiency with Accounting Software and Invoicing processes, including entering data, processing payments, and maintaining accurate ledgers.

  • Attention to detail, strong time management, and the ability to prioritize multiple tasks in a fast-paced, mission-focused environment.

  • Competent written and verbal communication skills, with a professional, collaborative, and customer-focused approach.

  • Comfort working with spreadsheets and basic office software (e.g., Excel, Word, email and document management tools).

  • High school diploma or equivalent required; additional coursework or certification in accounting, finance, or business administration is a plus.

  • Experience in a nonprofit or community-focused organization is beneficial, along with a commitment to Habitat for Humanity’s mission and values.
