About Merritt Innovative Consulting & Advisory LLC
Merritt Innovative Consulting & Advisory, LLC (MICA) is a Houston-based accounting consulting firm that helps small businesses and non‑profits take control of their finances. We go beyond traditional bookkeeping—we serve as trusted business advisors who help our clients spot financial problems before they become catastrophes and identify opportunities for growth they might otherwise miss.

Our services include fractional CFO and advisory services, bookkeeping, tax planning, cash flow management, strategic business coaching, and operational consulting. We believe business owners deserve more than just clean books—they deserve the right information at the right time to make confident decisions.

At MICA, we're building a team of reliable, detail-oriented professionals who take ownership of their work and genuinely care about helping clients succeed. If you're looking for a role where your contributions matter and you can grow with a firm that values accountability, flexibility, and doing right by clients, we'd love to hear from you.

The Client Services Manager is responsible for the overall client experience across a portfolio of MICA's fractional accounting and advisory engagements. This role serves as the primary relationship owner for assigned clients, ensuring seamless coordination between client leadership and MICA's bookkeeping team. The Client Services Manager monitors engagement health, resolves escalations, and identifies opportunities to expand and strengthen client relationships, while actively contributing to the growth of Merritt Innovative Consulting & Advisory, LLC.

Responsibilities:
A. Client Relationship Management
  • Serve as the primary point of contact for an assigned portfolio of clients, maintaining a regular check-in cadence appropriate to each engagement.
  • Lead client onboarding, setting clear expectations around deliverables, timelines, and communication protocols.
  • Conduct periodic business reviews with clients to assess satisfaction, surface concerns, and align on evolving needs.
  • Own client escalations, coordinating with fractional CFOs, Consulting Bookkeepers, and Assistant Bookkeepers to resolve issues promptly.
  • Act as the primary liaison between the client and their tax accountant, facilitating timely document exchange, communication, and alignment on tax planning, compliance deadlines, and filing requirements.
B. Service Delivery Oversight
  • Monitor engagement scopes against work actually performed to flag scope creep or underutilization.
  • Coordinate cross-functional resources (bookkeeping, tax, advisory, payroll) to ensure deliverables meet deadlines, including month-end close and financial statement delivery.
  • Track key service metrics, such as turnaround time, accuracy, and client responsiveness, and report internally on portfolio health.
  • Ensure client documentation, engagement letters, and scope agreements are current and properly maintained in Rippling and related systems.
  • Oversee and coordinate client payroll processing, ensuring accuracy, regulatory compliance, and timely submission across payroll platforms (e.g., Gusto, Rippling, ADP).
  • Administer client expense management through Ramp, including card issuance, receipt tracking, spend policy enforcement, and monthly reconciliation.
  • Manage accounts payable workflows for assigned clients, including vendor payment scheduling, invoice approval routing, and reconciliation.
  • Manage accounts receivable processes for assigned clients, including invoicing, collections follow-up, aging report monitoring, and cash application.
  • Lead month-end and year-end close for assigned clients, including account reconciliations, adjusting entries, and review of work prepared by assistants and interns.
  • Prepare and deliver monthly financial statements (balance sheet, income statement, and statement of cash flows) and client insight reports.
  • Prepare and file state tax reports with the Department of Revenue (e.g., sales and use tax, franchise tax) for assigned clients, ensuring accuracy and timely submission.
  • Prepare and file payroll tax reports (e.g., Forms 941 and 940, state withholding and unemployment) and reconcile payroll tax liabilities.
C. Account Growth and Retention
  • Identify upsell and cross-sell opportunities, such as expanding a client from bookkeeping-only services to fractional CFO or advisory services.
  • Maintain retention targets and proactively address at-risk accounts.
D. Business Development and Professional Growth
  • Actively participate in business development, including attending networking events and supporting presentations for prospective clients.
  • Identify and pursue strategic growth opportunities for MICA's client services function.
  • Maintain a working knowledge of accounting and advisory service fundamentals sufficient to communicate credibly with clients and internal teams.
E. Process and Team Coordination
  • Serve as the liaison between client-facing staff and internal accounting teams to standardize communication and reduce friction.
  • Contribute to refining internal SOPs for client onboarding, offboarding, and service handoffs.
  • Support the training of new client services or account staff.
F. Accounting Software Implementation
  • Lead or support the implementation of accounting software (e.g., QuickBooks Online, Xero, Sage) for new and existing clients, including system setup, chart of accounts configuration, data migration, and user training.
  • Evaluate client needs and recommend appropriate accounting software solutions based on business size, industry, and operational complexity.
  • Coordinate with internal teams and software vendors to ensure smooth system transitions and minimal disruption to client operations.
Qualifications:
  • Bachelor's degree in Accounting, Finance, Business Administration, or a related field.
  • Minimum of 5-7 years of experience in client services, account management, or a client-facing accounting/finance role; experience in a fractional or outsourced accounting services environment is highly desirable.
