Position overview

We are currently seeking a full-time Accountant & Office Administrator to serve Austin, TX and the surrounding area. In this role, you will support the day-to-day financial, administrative, and operational functions of the company. You will serve as a critical hub between field operations and executive leadership—managing everything from bookkeeping, HR, and IT coordination to construction billing, office operations, software systems, and risk management.

This is a dynamic, leadership-support role ideal for someone who thrives in a fast-paced environment, takes initiative and enjoys wearing multiple hats.

Responsibilities
  • Full-charge bookkeeping including AR, AP, bank reconciliations, journal entries, and credit card management.
  • Manage job cost accounting, including accurate coding of expenses to projects and departments.
  • Prepare and submit AIA billing, pay applications, and monthly project invoicing.
  • Track and reconcile subcontractor and vendor payments, lien waivers, and insurance compliance.
  • Maintain general ledger and assist with the preparation of financial statements and WIP reports.
  • Process payroll or coordinate with payroll service provider; ensure job costing for labor.
  • Assist with budget planning, forecasting, and project and company financial tracking.
  • Coordinate with CPA or outside accountant during tax season and audits.
Office Management & Administration
  • Oversee daily office operations and serve as the point of contact for vendors, deliveries, and facility needs.
  • Maintain digital and physical filing systems including project files, contracts, and compliance records.
  • Track licensing, certifications, and renewals for the company and employees.
  • Order supplies and manage office inventory.
  • Support and maintain the company’s online presence, including LinkedIn and Instagram
  • Monitor and provide executive updates regarding Google reviews
  • Attend networking events to represent the company professionally and promote visibility
  • Assist with implementing and maintaining a company-wide safety plan and records
  • Attend client project meetings and take notes or provide follow-up support as needed
  • Conduct document searches, scanning, and electronic submissions
  • Support procurement of materials and supplies as directed
Human Resources & Staff Support
  • Support hiring, manage employee onboarding, benefits enrollment, and personnel records.
  • Assist in creating or maintaining employee handbooks, job descriptions, and company policies.
  • Track certifications, training, and time-off requests.
  • Assist with timesheet entries for field personnel and executive staff
  • Maintain a positive and professional office culture.
Construction Project Support
  • Set up new projects in accounting and project management systems.
  • Track change orders, subcontractor documents, and insurance compliance.
  • Support Project Managers with budget tracking, reporting, and cost-to-complete reviews.
  • Compile documents in response to RFPs and Prospect Proposals.
  • Ensure proper COI tracking and compliance with insurance requirements.
  • Maintain safety logs, incident reports, and coordinate with safety consultants as needed.
  • Support prequalification documents and subcontractor vetting processes.
IT & Software Coordination
  • Serve as point-of-contact with IT service provider for troubleshooting and system maintenance.
  • Coordinate software implementation and usage across accounting, project management, and communication platforms (e.g., QuickBooks, Procore, Microsoft 365, Deltek Computer Ease).
  • Maintain software subscriptions, licenses, and user access credentials.
Qualifications
  • At least 2-3 years of experience in construction accounting, office management, and administrative roles.
  • Strong knowledge of AIA billing, job costing, and general ledger accounting.
  • Proficiency in QuickBooks Online or Desktop; Microsoft Excel, Word, Outlook, and virtual collaboration tools (e.g., Zoom, Microsoft Teams)
  • Excellent organizational skills with the ability to manage competing priorities.
  • Strong written and verbal communication skills.
  • Discretion and professionalism in handling sensitive company and employee information.
  • Must have a clean background check.
  • Capable of working independently and collaboratively.
  • Experience with construction software platforms (e.g., Procore, Buildertrend, Deltek Computer Ease).
  • Working knowledge of HR best practices and compliance requirements.
  • Experience in small business or family-owned environments.
  • Bilingual (Spanish/English) a plus.
