You will manage the CEO's calendar, coordinate deals, and use AI tools to streamline processes while maintaining confidentiality and discretion. The position emphasizes relationship-building with brokers and strong organizational discipline.

Responsibilities

  • Coordinate deal workflow, systems, and reporting using AI and modern tools.
  • Support underwriting, proposals, and contract reviews; escalate where needed.
  • Maintain CRM activity, pipeline, notes, and next steps; ensure timely updates.
  • Build relationships with brokers; participate in briefings and presentations.

Job description

Compensation: $75,000 - $105,000 annually

OptimizedRx is a pharmacy benefits consulting firm that works with brokers, employers, and industry partners to improve pharmacy plan performance and reduce cost.

We are hiring an Account Executive and Executive Operations Coordinator to work in close partnership with our CEO while supporting broker growth and the day-to-day execution of a lean, high-trust team.

This is a deliberately blended role: executive support first, multiplied by modern AI, with real broker savvy. You will protect the CEO's time, keep the business day running cleanly, and communicate with brokers with judgment on contracts, economics, and what motivates the broker channel.

The role is approximately:

  • 40% Executive Assistant
  • 30% Operations Coordinator
  • 30% Account Executive

This is not a traditional clerical role or a stand-alone sales role. The right person is organized, commercially minded, proactive, polished, and trusted with sensitive work.

What You'll Do
  • Serve as a close, trusted support partner to the CEO and Chief of Staff, helping them operate with focus and follow-through.
  • Manage the CEO's calendar, scheduling, meeting coordination, travel, daily priorities, and communication flow.
  • Prepare agendas, briefing materials, meeting notes, recaps, and action-item summaries.
  • Track commitments until they are completed or intentionally re-prioritized.
  • Organize and prioritize email, draft routine communications, and ensure important requests receive a timely response or escalation.
  • Attend selected meetings on behalf of the CEO when appropriate; return with clear decisions, owners, deadlines, and next steps.
  • Protect confidential executive, client, employee, and vendor information with discretion.
  • Anticipate needs, create order in a complex day, and reduce administrative friction without constant direction.
Operations Coordinator - 30%
  • Use AI and modern workflow tools to coordinate deal workflow, systems, materials, reporting, vendors, internal priorities, and processes.
  • Support underwriting and proposal processes through scheduling, materials, status tracking, document organization, and follow-up.
  • Review and organize contracts, proposals, and business documents to identify dates, missing information, decision points, and items requiring escalation.
  • Keep CRM, workflow, project-tracking, and reporting systems current; improve routine processes and handoffs where practical.
  • Support meeting logistics, office visits, company events, travel, vendor coordination, equipment needs, onboarding and offboarding administration, and business-file organization.
  • Assist with expense reporting, receipts, reimbursements, vendor invoices, and light financial administration.
  • Work comfortably with internal and external technical partners on business systems, reporting, workflow tools, and access needs.
Account Executive - 30%
  • Build, maintain, and deepen relationships with benefits brokers, consultants, and selected self-funded employer opportunities.
  • Conduct discovery, understand renewal timelines and pharmacy-benefit priorities, and help identify where OptimizedRx can add value.
  • Coordinate and participate in broker briefings, presentations, and follow-up conversations with the CEO and subject-matter experts.
  • Keep CRM activity, relationship history, pipeline information, meeting notes, and next steps current and useful.
  • Coordinate claims-data and contract requests, savings-analysis inputs, proposals, and decision steps so opportunities do not stall.
  • Present information clearly and professionally, escalating commercial, contractual, or relationship-sensitive matters to the CEO or Chief of Staff as appropriate.
  • Maintain broker relationships after implementation through disciplined check-ins, issue awareness, renewal support, and expansion opportunities.

  • Commercial awareness and comfort with relationship development, sales support, financial details, proposals, and contract-administration processes.
  • Ability to work independently, take ownership, and know when to act, coordinate, or elevate.

Experience in employee benefits, pharmacy benefits, PBM, health insurance, healthcare consulting, or a related field is strongly preferred.
