Job summary

Nashville SC is seeking an Academy Scouting Coordinator to support the Head of Academy Scouting through our player tracking system, scouting administration, talent identification support, recruitment coordination, recruiting logistics, trial management, and local scouting coordination.

The role maintains and updates operational systems that support Nashville SC Academy player scouting and recruitment activities.

Qualifications

• Proficiency with Airtable, Excel, PowerPoint, Word, Teams, and reporting tools.
• Experience working with databases, CRM systems, or spreadsheet-based tracking systems through academic, internship, volunteer, or professional experiences.
• Ability to manage and interpret large volumes of information accurately.
• Strong organizational skills with exceptional attention to detail.
• Ability to work evenings and weekends as required by academy events and competitions.
• Excellent organizational, project management, written, and verbal communication skills.
• Valid driver's license and ability to work evenings, weekends, and travel regionally.

Responsibilities

• Maintain scouting and recruitment databases.
• Ensure data accuracy and integrity.
• Generate dashboards and reports.
• Manage recruitment pipeline and player tracking.
• Maintain prospect records and watchlists.
• Monitor recruitment timelines and follow-up actions.
• Coordinate scouting schedules for homegrown reporters' program.
• Track scouting reports.
• Prepare recruitment briefing materials.
• Coordinate academy trials.
• Manage registrations and documentation.
• Collect evaluations and communicate outcomes.
• Support strategic planning.
• Serve as recruitment point of contact.
• Manage trial invitations.
• Coordinate recruitment visits.
• Ensure SafeSport and league compliance.
• Maintain required documentation.
• Support audit readiness.
