Qualifications

  • One year of related experience in a community college setting is preferred.
  • Knowledge of interlibrary loan standards and OCLC guidelines and procedures is preferred.
  • Ability to read and interpret documents such as rules, instructions, and manuals. Ability to write routine correspondence. Ability to speak effectively before groups.
  • Ability to add, subtract, multiply, and divide. Ability to count units of money.
  • Ability to manage multiple and competing priorities; promote teamwork and stay calm under pressure.

Responsibilities

  • Performs reception duties such as screening and receiving visitors and incoming telephone calls.
  • Performs complex office management and clerical functions including calendar maintenance, meeting coordination, filing, proofreading, and ordering and inventorying office supplies.
  • Assists with oversight of computer lab areas and coordinates Help Desk contact when necessary.
  • Coordinates LRC online tracking software (TracCloud) and early alert system (SAGE).
  • Assists with coordination of peer and professional tutors, recruiting, training, scheduling, and paperwork.
  • Administers student testing in the Learning Resource Center and for accommodated exams.
  • Assists with presentations to student groups about LRC services.
  • Assists library patrons with research needs and materials; supports inventories and spine label work.
  • Enters data in LRC systems and compiles monthly statistics.
  • May help manage the circulation desk and distribute overdue notices; handles patron holds.
  • Performs Interlibrary Loan processes from request to return, including copyright checks.
  • Assists with flyers, department initiatives, and Student Needs Center coordination.
  • Coordinates creation of student and employee ID cards.
  • Provides backup coverage for Canton Receptionist and laptop lending program.
  • Performs other duties as assigned by supervisor.

PRIMARY FUNCTION:

The Academic Support Office Assistant supports Learning Resource Center operations in circulation, technical, and virtual services while protecting the confidentiality, security, and permanency of records.

RESPONSIBILITIES:
  • Performs reception duties such as screening and receiving visitors and incoming telephone calls. Serves as a resource person for students by answering questions about programs or directing questions to appropriate person and/or department.
  • Performs complex office management and clerical functions including, but not limited to, calendar maintenance, meeting coordination, filing, proofreading, and ordering and inventorying office supplies; uses a variety of office and administrative software tools to produce correspondence and spreadsheets, maintain databases, prepares office mailings, prioritizes and/or distributes incoming departmental mail.
  • Assists with oversight of computer lab areas with regards to start up and shut down processes and contacts Help Desk when necessary.
  • Coordinates the Learning Resource Center's online tracking software (TracCloud) and early alert system (SAGE) which includes data input and retrieval, running reports, the creation of referrals, and coordination with students and other staff such as faculty, college advisors, athletics, and Learning Resource Center staff.
  • Assists with coordination of peer and professional tutors which includes recruiting perspective tutors, communicating with perspective tutors, training new tutors, completion of new tutor paperwork, tutoring schedules, and the creation of tutoring appointments for students.
  • Administers student testing in the Learning Resource Center and outside of the LRC which includes students with accommodations and other limited proctored exams.
  • Assists with presentations to student groups or prospective students about Learning Resource Center services.
  • Assists library patrons in formulation and interpretation of research needs and provides instruction in location and evaluation of library materials in print and non-print formats. Assists with library collection inventories, creating and applying spine labels for all books and materials, shelving, and shifting, when necessary.
  • Enters and maintains information in data systems utilized in the Learning Resource Centers as well as monthly statistics involving all library operations.
  • May assist with managing the circulation desk, training of staff, and distributing overdue notices to patrons as needed. This also includes releasing patron holds and deleting patrons expired cards.
  • Performs all operations involving the Interlibrary Loan process, using current interlibrary loan software, from request to return of materials including verification, copyright laws and restrictions, and lending and delivery options. Communicates with the patron about the status of the Interlibrary Loan.
  • Assists with projects and department initiatives, including, but not limited to, creation and distribution of flyers and other Learning Resource Center related materials.
  • Assists with coordination of the Student Needs Center including organization, purchasing, coordinating donation drives, and restocking.
  • Coordinates the creation of student and employee ID cards.
  • Provides backup coverage for the Canton Receptionist during breaks and absences.
  • Assists with the laptop lending program.
  • Performs other duties as assigned by the supervisor.
SUPERVISORY RESPONSIBILITIES:

This position has no supervisory responsibilities.
