Job description

The Academic Coordinator is a full-time member of the department’s academic support staff and is responsible for the academic advising, monitoring and mentoring of a designated caseload of student athletes. This position serves an integral role within the Athletics Department; ensuring student athletes are offered the services and programs necessary to help them achieve academic success as an NCAA Campbell University athlete. They will also be required to assist in the day-to-day operations of the student‑Athlete Support department. This individual must possess a customer service mindset, and display a positive attitude, professionalism, integrity and character in the conduct of all activities.

Essential Duties and Responsibilities
  • Monitor the academic progress (continuing eligibility) of a designated caseload of student‑athletes, in accordance with NCAA, conference, and University policies.
  • Provide guidance to designated student‑athletes on course selection, class scheduling, and academic majors and minors.
  • Maintain detailed and accurate records of assigned students’ academic progress.
  • Review certification documents for assigned students to assist in academic certification process.
  • Regularly meet with, and mentor, students within their assigned caseload that are determined to be at risk.
  • Generate and distribute weekly academic reports and summaries to coaching staffs on assigned teams.
  • Assist with the monitoring of Student‑Athlete Support academic facilities.
  • Distribute travel notifications to faculty for designated sports.
  • Meet with prospective student‑athletes during recruiting process as requested.
  • Attend departmental and other meetings as assigned.
  • Assist with the academic awards and recognition process for student‑athletes.
  • Support student‑athlete development and community outreach initiatives.
  • Serve on campus committees and participate in special projects as directed.
  • Maintain open and effective lines of communication with coaching staffs on assigned teams.
  • Communicate and collaborate, as needed, with other campus departments, such as academic advising, residence life, admissions, sports information, compliance, athletic training, strength and conditioning.
  • Conduct all activities in compliance with the rules, bylaws and guidelines set forth by the NCAA, Coastal Athletic Association and other affiliated conferences.
  • Maintain a professional appearance and demeanor at all times.
  • Uphold and abide by Campbell University policies and procedures, including, but not limited to; Title IX and Information Security, including but not limited to; FERPA and other state and federal mandates.
  • This position requires honesty, integrity, and the ability to work within the Christian Mission of Campbell University.
Education/Experience

Bachelor’s degree required, preferably in Education, Psychology, Sport Administration, Business Management, and/or related field, master’s degree desired.

Experience working in an administrative or student‑centric support role in higher education; specifically, within an athletic department, desired.

  • Excellent interpersonal skills with the ability to communicate professionally and effectively to all groups through both oral and written channels.
  • Ability to maintain strict confidentiality and set appropriate professional boundaries with student athletes.
  • Strong organizational skills with the ability to prioritize work, multitask, and meet set deadlines.
  • Proficiency with Microsoft Word, Excel, Outlook and standard methods of digital communication; familiarity with and demonstrated ease using social media platforms.
  • Competent computer skills, with the ability to learn and utilize new and emerging technology.
  • Ability to work in a collaborative creative environment producing work that not only aligns with the overall mission of the department, but also advances the overall mission and goals of the university.
  • Ability to exercise good judgement and make sound decisions in complex, stressful and/or new situations.
  • Ability to take initiative and ownership of projects.
  • Ability to work independently as well as function effectively in a team and within a diverse group of people.
  • Adaptability, flexibility and a willingness to work in a changing environment.
  • Ability to work occasional evening or weekend hours and occasional travel; including overnight stays may be required.
  • Demonstrate tact, a positive attitude, courtesy and discretion in interactions with student athletes, coaches, trainers, all others associated with athletic programs, university faculty and staff, and the public.
