Job summary

Allegheny College in Meadville, PA seeks an administrative assistant to manage building spaces, schedule rooms, maintain signage, and act as the point of contact for facility upkeep.

You will support department chairs with financial records, purchases, meeting logistics, and travel coordination, hire and supervise student workers, and handle communications.

This full-time role offers 40 hours weekly during the academic year and 20 hours in summer, with a starting hourly wage of $15.80.

Qualifications

  • High School Diploma/GED required.
  • 1-3 years experience required.
  • Knowledge of Microsoft Office Products (Excel, Outlook, PowerPoint, Word), Google Suite Products.

Responsibilities

  • Manage building spaces. Manage the scheduling and accessibility of rooms and spaces. Maintain building signage and bulletin boards. Serve as point of contact for building upkeep including daily building walkthroughs to identify and report needs to appropriate parties (Housekeeping, Physical Plant, ITS).
  • Serve as the point of contact for department and program needs including, but not limited to: responding to all communications or queries (phone, email, and in person), maintaining files, monitoring and purchasing office supplies, monitoring copiers, handling mail distribution, and maintaining an up-to-date web presence.
  • Assist academic department chairs with maintaining financial records, monitoring expenditures and budgets, and managing departmental payment requests and purchases.
  • Assist with the scheduling of department and program meetings and events.
  • Manage logistics for special lectures, visitor events, and department-sponsored excursions. This may include scheduling, managing itineraries, communicating with travelers or attendees, assisting with travel logistics (transport, lodging, meals).
  • Provide administrative support for faculty searches, including visit logistics. Assist the chair with orienting new faculty to departmental practices.
  • Hire, train, and supervise student workers.
