Responsibilities:
  • Maintain a strong patient/customer focus to support high-quality care and patient satisfaction.
  • Coordinate the medical records process including scanning, filing, and handling requests.
  • Ensure compliance with JCAHO policies.
  • Update Electronic Medical Records daily and maintain Document Manager.
  • Follow specified scanning processes, ensuring proper patient identification and document routing.
  • Prioritize and scan paper data into the EMR.
  • Retrieve and disperse incoming faxes and mail.
  • Send outgoing mail and faxes.
  • Manage medical records requests and external record retrievals.
  • Handle EPIC inbox and voicemail messages.
  • Provide coverage at the front desk as needed.
  • Complete CQI reports and maintain documentation updates.
  • Track and process documentation for medical records and reimbursement.
  • Confirm visits in CPR+ for billing.
  • Verify scanned files are correctly stored before paper copy destruction.
  • Manage requests for Advanced Directives.
  • Respond professionally to record requests and inquiries.
  • Sort, prioritize, and disperse faxes and mail.
  • Answer calls and provide excellent customer service.
  • Support reception and admin backup as needed.
  • Maintain compliance with regulatory standards.
  • Perform duties aligned with Penn Medicine values and policies.
Education or Equivalent Experience:
  • H.S. Diploma/GED (Required)
  • At least 2 years of work experience, including 1 year in a health/medical office environment (Required)
