Job Description

Assists in physically retrieving and researching records, processing check-out records, delivering, distributing, maintaining and disposing of records for various Dallas County departments. Works within a well-defined framework of policies and procedures, under immediate supervision.

Responsibilities
  • 1. Assists in physical receipt, reference, retrieval, retention and disposal of records and files for all County departments; assists in file maintenance.
  • 2. Files records and maintains inventory for individual files and boxes containing a range of files in accordance with department-specific guidelines.
  • 3. Assists with utilizing records management system and formulated filing system, researches and identifies record locations and custodial departments. Maintains records charged-out to departments by utilizing bar codes and computer program. Inputs data for researching and retrieval of records.
  • 4. Operates county-owned vehicles to deliver and pick up records and equipment for retrieving, refiling and moving records.
  • 5. Assists with gathering records to respond to open records requests received by County Departments.
  • 6. Documents and verifies all records, (including non-official/transitory, approved) for destruction per policy.
  • 7. Performs other duties as assigned.
Qualifications

Education, Experience and Training:

Graduation from an accredited high school/GED Program Three (3) years of experience in records storage or a related records management field preferred. Experience in a customer service environment a plus.

Special Requirements/Knowledge, Skills & Abilities:

Ability to operate county-owned equipment and adhere to standard operating procedures and safety guidelines. Ability to alphabetize or place records in numerical order. Ability to understand and follow written and verbal instructions, organize and process work and establish and maintain effective working relationships and provide excellent customer service to other County employees. Must possess and maintain a valid Texas Driver's License and good driving record. Mandatory drug test prior to and during employment. Must pass a background check.

Physical/Environmental Requirements:

Shop or warehouse environment. Requires prolonged kneeling, standing, walking, climbing and the ability to lift, carry and stack up to 50 pounds, unassisted. Ability to work in varied inside conditions (i.e., extreme heat and cold changes). Ability to operate equipment efficiently and safely. Requires safety gear (i.e., shoes).
