Job summary

BW Offshore, with over four decades of offshore experience, seeks a Subcontracts Specialist to manage and administer subcontracts across FPSO/offshore projects. You will draft SOWs, evaluate tenders, coordinate inputs with engineering, procurement, and finance, and ensure timely close-out while maintaining audit-ready records.

Qualifications

• Bachelor's degree in engineering, law, commerce, business administration, QS, construction management, building management or related field.
• Enrolment in or willingness to pursue CIPS/RICS certifications is encouraged.
• Minimum four years of experience in subcontracting, contracts administration, or commercial roles in oil & gas, offshore or energy projects.
• Experience managing discrete subcontracts through administration and close-out on capital projects.
• Exposure to tender preparation and evaluation processes for project execution scopes.
• Experience in multi-disciplinary project teams on FPSO/offshore capital projects is advantageous.

Responsibilities

• Manage assigned project execution subcontracts of moderate complexity during the execution phase of FPSO/offshore projects under guidance.
• Assist in ITT/RFP packages: draft Scope of Work, populate schedules and BOQ, compile tender docs, coordinate inputs from engineering, procurement and controls.
• Support tender evaluations with commercial bid tabulations and evaluation summaries for senior review.
• Administer post-award subcontract activities: logs, minutes, action items, invoices and milestone payments.
• Identify subcontract variations and draft variation assessments for review by senior team members.
• Monitor deliverable schedules and milestones, flag delays or concerns in a timely manner.
• Coordinate with Delivery Management, Project Services/Controls and Finance to ensure cost data accuracy in PM systems.
• Maintain audit-ready subcontract filing systems per document control requirements.
• Support subcontract close-out documentation in line with project completion milestones.
• Participate in HSSE inductions, pre-mobilisation meetings and qualification assessments relevant to execution.

Key Tasks and Responsibilities:

• Manage assigned project execution subcontracts of moderate complexity throughout the execution phase of the assigned project, including but not limited to FPSO projects, under the guidance of the relevant senior member of the Project Subcontracts Team
• Assist in the preparation of Invitation to Tender (ITT) / Request for Proposal (RFP) ITT/RFP packages for the assigned project’s execution scopes: draft project-specific Scope of Work, populate commercial schedules and Bills of Quantities (BOQ), compile tender documents, and coordinate internal inputs from Engineering, Procurement, Project Services / Controls, Delivery Management and Hook-up & Commissioning teams
• Support tender evaluations on the assigned project: prepare commercial bid tabulations and draft evaluation summaries for review and approval by senior members of the Project Subcontracts Team e.g., Senior Subcontracts Specialist and/or Project Subcontracts Lead
• Administer subcontracts post-award throughout the execution phase of the assigned project: maintain correspondence logs, prepare and distribute progress meeting minutes, track action items, process subcontractor invoice packages and milestone payment requests
• Identify and document subcontract variations and change events arising during the execution phase of the assigned project – and prepare draft variation assessments (scope, cost, and schedule impact) for review by the Senior Subcontracts Specialist and/or the Project Subcontracts Lead
• Monitor subcontractor deliverable schedules and construction / commissioning milestone compliance on the assigned project, and flag potential delays or performance concerns to the Senior Subcontracts Specialist, Project Subcontracts Lead and/or the Project Subcontracts Manager in a timely manner
• Coordinate with the assigned project’s Delivery Management and Project Services / Controls teams, and the corporate Finance function, to ensure subcontract cost data, commitments, and accruals on the assigned project are accurately captured within the relevant project cost management systems & tools
• Maintain organised, complete, and audit-ready subcontract filing systems (electronic & physical) in accordance with the assigned project's document control requirements & systems
• Support preparation of subcontract close-out documentation in line with project completion milestones on the assigned project
• Participate in subcontractor HSSE inductions, pre-mobilisation meetings, and qualification assessments relevant to the execution phase of the assigned project
• A ssist in drafting responses to subcontractor correspondence on the assigned project – under the guidance of senior members of the Project Subcontracts Team

Qualifications:

• Bachelor's degree in the field of Engineering, Law, Commerce, Business Administration,
  Quantity Surveying (QS), Construction Management, Building Management, or a related discipline
• Enrolmentin, or a willingness to work towards relevant professional certifications suchas those from the Chartered Institute of Procurement & Supply (CIPS), RoyalInstitution of Chartered Surveyors (RICS), or equivalent / of similar standing,is encouraged
• Minimum four (4) years of experience in subcontracting, contracts administration, or commercial roles in the oil & gas, offshore, or energy project sector
• Experience assisting in or independently managing discrete subcontracts through administration andclose-out on a capital project
• Exposure to tender preparation and evaluation processes for project execution scopes
• Someexperience working within a multi-disciplinary project team environment on FPSOor offshore capital projects is advantageous

• Understanding of invoice processing, milestone tracking, cost coding, and accruals within a project cost management framework
• Familiarity with enterprise resource planning (ERP) / contract management systems (e.g., IFS, SAP, Ariba, Oracle, etc.) and possesses strong MS Office skills
• 'Native'or 'Professional' level proficiency in English – written & spoken
