Job Title: Finance Executive
Reporting to: Assistant Finance Director
Employment Type: Full Time
We are seeking a dedicated and detail-oriented Finance Executive to support our finance operations. This is a meaningful role within a mission-driven organisation, where your work directly contributes to ensuring that funds entrusted to us by donors, grantors, and the public are managed with the highest standards of integrity and accountability. The successful candidate will be responsible for verifying payment claims and providing secretariat support to the finance function and relevant governance committees.
We are looking for someone who embraces technology and is keen to harness AI tools to improve the efficiency and quality of finance and administrative processes.
The Finance Executive is responsible for reviewing and validating payment claims submitted by programme teams and external vendors. This includes verifying that all claims are supported by complete, accurate and appropriate documentation, such as invoices, receipts, purchase orders, contracts, gift agreements, grant disbursement forms, and other relevant supporting records. The role requires that all payment claims are in accordance with approved budgets, gift agreements, grant conditions, and the organisations financial policies and authorisation limits.
The Executive will also follow up with relevant parties to resolve discrepancies or incomplete submissions in a timely manner.
The Finance Executive will provide secretariat support for the Board and its subcommittees, including the Finance Committee and Audit Committee. Key responsibilities include coordinating meeting logistics, preparing and circulating agendas and meeting materials, ensuring timely circulation of papers and maintaining proper records of the proceedings. The role also involves recording accurate and concise meeting minutes, monitoring the progress of follow-up actions, and liaising with relevant stakeholders to ensure the timely completion and reporting of action items.
The Finance Executive is expected to proactively identify and leverage innovative digital tools and technologies to enhance the efficiency, accuracy and quality of finance and administrative operations. This includes using technology-enabled solutions to prepare and refine meeting minutes, reports and other documentation, while ensuring that all outputs are accurate, professional and fit for purpose. The role also involves leveraging analytics, automation and other innovative tools to strengthen the claim review process by detecting duplicate payments, identifying anomalies and exceptions in claims data, and validating the legitimacy and completeness of supporting documents.
The Finance Executive is expected to exercise sound judgement in the use of digital tools and technologies, ensuring that all outputs are appropriately reviewed and validated, and that sensitive, confidential and personal data are handled responsibly and in compliance with the organisations data governance, security, and privacy requirements.
Beyond the core responsibilities, the executive will assist in the team with preparation of financial reports, reconciliation of balance sheet, and presentations for management and Board review. The Finance Executive will also contribute to process improvement efforts to strengthen financial controls and operational efficiency within the finance team.
