Senior Boarding Services Executive - (Maternity Cover)

UWCSEA Dover is looking for a Senior Boarding Services Executive [Maternity Cover] to join the Boarding team. The contract would be from 1 October 2026 to 11 March 2027.

The Senior Boarding Services Executive will work to coordinate the various moving parts of the boarding operation both independently and as a team member. They will work with the Deputy Director of Residential Life, Boarding Operations Supervisor and wider boarding team in carrying out routine and special tasks and portfolios, liaising with other departments, external suppliers, students & parents to ensure the smooth day-to-day operation of the boarding house and the wider residential community. They may be required to manage special projects and portfolios, completing administrative tasks efficiently and with precision. In addition, the Senior Boarding Services Executive contributes to the pastoral care and implementation of the residential life curriculum to support a highly diverse, multi-national group of students ranging in age from 13 - 19. This requires a warm and approachable manner, working positively with students to carry out the administrative and supervision tasks in a way that builds connection and belonging for the students. The proportion of pastoral to administrative workload can vary throughout the year. This position requires a high level of organisational, time-management and administrative skills, and confident use of spreadsheets and other tools is essential.

Main Responsibilities
  • Operational Activities:
    • Manage the efficient day to day operations of the boarding house
    • Handle boarders’ daily administrative needs, for example: student pass procedures, pocket money accounts, medical requirements, daily routine, visa requirements and travel arrangements.Act as custodian of boarders’ important documents and money
    • Manage flight bookings and other travel arrangements
    • Accompany students to doctor and specialist visits
    • Communicating with students’ parents regarding their needs and administrative issues
    • Facilities maintenance and inventory work management during the summer holidays
  • Operational or Pastoral Projects: As required to assist the DDORL and BOS in managing the boarding houses and implementing the Residential Life Curriculum
  • Term Break Supervision:
    • Term Break and Boarding break annual shutdown and opening
    • Facilities maintenance and inventory work management during the summer holidays
    • Attend to Ad hoc tasks during school term and vacation in preparation for boarders return
  • Key Coordination Point: Liaising with all other members of the team to provide care for the students - houseparents, deputy houseparents, assistant houseparents, clinic staff, facilities staff
  • Assist with any other duties, tasks or jobs with similar levels of responsibility and complexity to the assigned job grade as may be reasonably requested by the line manager and/or the College.
Person Specifications

Qualifications

  • Bachelor’s level university degree in fields related to social or educational occupations, such as Teaching, Counselling, Communications, Administration, Social Work.
  • Candidates with a post-graduate certificate or diploma with 5 years or more previous work experience in boarding could also be considered.

Desired experience

  • 2 years previous boarding experience or education experience in a student-facing role
  • Demonstrated experience coordinating operations and administrative projects and managing multiple priorities
  • Demonstrated success in supervising students in a residential or educational environment.
  • Demonstrated success in meeting deadlines and following procedures
  • Demonstrated success in the application of relevant technologies in administration.

Skills and Qualities

  • An understanding of the organisational and operational practices appropriate to the position.
  • A thorough understanding of the operational needs of a boarding / residential environment.
  • An understanding of the growth and development of adolescents and young adults.
  • An understanding of the legal and safeguarding requirements for the supervision of students.
  • Customer oriented, flexible and the ability to work both independently and as part of a team
  • Ability to independently manage operational portfolios, lead small teams and mentor colleagues within the boarding house requirements
  • Demonstrated ability to provide consistent and considerate supervision and pastoral care of adolescents and young adults
  • Demonstrated skills in establishing effective working relationships based on mutual respect between staff members, other departments, students and their families.
  • Effective oral and written communication skills in English. The ability to communicate with students and their families in languages other than English is valuable.
  • Demonstrated ability to work with a team and as an individual.
  • Proficient IT skills, particularly in G Suites
  • Able to multi-task and demonstrate initiative
  • Implement the Boarding Philosophy and tenets of the Boarding Manifesto
