Job summary

OLENO Pte. Ltd. in Singapore is seeking a proactive Sales Administrator to manage orders from confirmed quotations through installation and final payment, supporting operations and customer service to ensure smooth order processing.

You will raise POs, issue invoices, schedule measurements and installations, update records, and coordinate after-sales service while maintaining showroom coverage. The role requires at least 2 years in sales administration or operations, familiarity with Xero,

Qualifications

• Minimum 2 years of experience in sales administration or operations within renovation, furnishing, trade, or similar project-based businesses.
• Experience using Xero or similar accounting software to manage financial records.
• Clear and warm written English communication skills for WhatsApp interactions; conversational Mandarin is advantageous for customer engagement.
• Comfortable working with numbers, measurements, and simple quoting systems to ensure accuracy.
• Reliable, punctual, and able to work independently within a small team environment.
• Willingness to work a 5-day roster including some weekend showroom coverage.

Responsibilities

• Raise purchase orders to fabricators and suppliers based on confirmed quotations and track delivery dates to ensure timely fulfillment.
• Issue customer invoices, record deposits and final payments, and follow up on outstanding payments before fabrication.
• Schedule site measurements and installations, maintaining an accurate calendar for the installation team.
• Update order status, customer records, and payment information in the sales portal and accounting system.
• Coordinate after-sales service visits, adjustments, and customer follow-ups to resolve issues promptly.
• Respond to customer enquiries via WhatsApp and phone, directing them to the appropriate sales consultant.
• Cover the showroom and close straightforward orders when sales consultants are occupied with other customers.
• Maintain supplier records, price lists, and sample stock in the showroom to support sales and operations.
• Prepare weekly reports summarizing orders, payments, and installations to inform management decisions.

Other Information

• Basic salary range: $2,200 to $2,600 depending on experience
• Commission paid monthly on orders personally closed
• Two performance reviews annually, each with a bonus of up to one month’s salary
• Annual leave, medical benefits, and CPF contributions in accordance with Singapore employment law
• Three-month probation period with clear, measurable targets
