We are looking for an experienced Regional Admin Lead to oversee administrative operations across multiple countries and offices within the region.
This role will be responsible for ensuring smooth, efficient, and cost-effective office and administrative operations while maintaining consistent standards across locations.
Lead and oversee day-to-day administrative operations across multiple countries/offices.Establish and maintain standardized administrative policies, procedures, and workflows across the region.Ensure offices are properly equipped, organized, and operated efficiently.Coordinate administrative support for new office openings, office relocations, expansions, and closures.Identify operational gaps and implement process improvements to enhance efficiency.
Manage office facilities, workplace services, maintenance, security, cleaning, utilities, and other office-related services.Coordinate office renovation, fit-out, repair, and maintenance projects.Ensure compliance with local office safety, building, and facility requirements.Monitor office space utilization and recommend improvements based on business needs.Manage office supplies, equipment, furniture, access cards, and other workplace assets.
Identify, evaluate, and manage regional and local vendors and service providers.Negotiate pricing, contracts, service terms, and renewal conditions.Monitor vendor performance and ensure service quality and SLA compliance.Maintain an accurate database of administrative contracts, suppliers, and renewal schedules.Work with Finance and Legal teams on procurement, contracts, invoices, and payments.
Develop and manage the regional administration budget.Monitor administrative expenses and ensure spending remains within approved budgets.Identify opportunities for cost optimization and operational efficiency.Review and approve administrative expenses in accordance with company policies.Prepare regular budget and expense reports for management.
Oversee regional business travel arrangements, accommodation, transportation, and related services.Develop and maintain travel policies and preferred vendor arrangements.Support business events, conferences, offsites, town halls, and company activities.Provide administrative support for regional management and business teams when required.
Ensure employees receive efficient and professional administrative support.Coordinate onboarding and offboarding requirements related to office access, equipment, workspace, and facilities.Work closely with HR to support employee engagement activities and workplace initiatives.Manage employee welfare and workplace service programs where applicable.
Lead, manage, and develop local Admin/Office Management teams across the region.Set clear objectives, priorities, and performance expectations for team members.Develop a strong service-oriented culture within the regional administration function.Allocate resources effectively according to business requirements across different locations.
Partner closely with HR, Finance, Legal, Compliance, IT, Security, and business teams.Coordinate administrative matters involving multiple countries and legal entities.Support local regulatory, licensing, insurance, and corporate administration requirements where applicable.Provide regular updates and recommendations to regional management
