Job summary

voco Orchard Singapore is seeking a Purchasing Executive to coordinate or assist in the purchasing, receiving, storage, and/or dispensing of food and non-food items to meet the needs of hotel departments.

Minimum Diploma and at least 1 year in purchasing or supply chain in hospitality is required. Proficiency in Excel and strong organisational and communication skills are essential for success in this role at voco Orchard Singapore.

Qualifications

• Minimum Diploma in Hospitality, Business, Purchasing, Supply Chain or equivalent.
• Minimum 1 year of purchasing, procurement or supply chain experience, preferably within the hospitality industry.
• Knowledge of purchasing procedures, inventory management and procurement best practices.
• Proficiency in Microsoft Office applications, particularly Excel.
• Strong organisational, administrative and analytical skills.
• Good communication and interpersonal skills with the ability to work collaboratively across departments.
• Ability to prioritise tasks and meet deadlines in a fast-paced environment.
• Must speak fluent English

Responsibilities

• Assist in purchasing, receiving, storage and dispensing of items for hotel needs.
• Obtain competitive quotations and source best products from suppliers.
• Ensure purchases are correct, well-quantified, and properly documented.
• Maintain supplier data, catalogue content and pricing.
• Support month-end accounts reports and budget commitments.

Your day to day

voco Orchard Singapore is seeking a Purchasing Executive to join its team. As Purchasing Executive you’ll coordinate or assist in the purchasing, receiving, storage, and/or dispensing of food and/or non-food items to meet the needs of the various departments and functions.

People

• Promote teamwork and quality service through daily communication and coordination with other departments.

Responsible Business

• Assist Purchasing Manager with the purchasing of all goods and equipment required by the hotel
• Obtain competitive quotations for hotel requirements and ensure that the best product is sourced and purchased, using group nominated suppliers where applicable
• Ensure the purchase of correct goods and materials at a competitive price and proper quantities/ volumes
• Ensure locally nominated supplier information is kept current
• Monitor all areas of purchasing including contracts, leases and nominations
• Ensure a comprehensive system for allocating and reconciling purchase orders
• Other ad-hoc duties – unexpected moments when we have to pull together to get a task done

Financial

• Prepare the month end accounts reports in an accurate and timely manner
• Maintain a record of commitments for all budgets and ensure that the relevant senior managers are constantly informed of updates
• Maintain Purchase Plus database in an organized manner
• Maintain supplier product data including catalogue content, product specifications, photographs, descriptions and pricing and keep them confidential

Guest Experience

• Help to ensure Brand Standards are met to provide quality goods/ service to guests
