Job summary

Ventós Group, with its Singapore subsidiary Ventós-Vos Pte. Ltd. in Biopolis, Singapore, is seeking a Purchasing Assistant to reinforce the purchasing team.

You will liaise with suppliers, help negotiate prices, confirm purchase orders, and manage samples and documentation in the ERP system. Collaborate with HQ departments to optimize processes and ensure smooth operations; strong English is essential, with Spanish as a plus.

Qualifications

• Bachelor’s degree in business/industrial management or related field.
• 2–3 years of relevant experience, preferably B2B in chemical, flavors & fragrances.
• High level of English (spoken and written); Spanish is a plus.
• Desirable knowledge of import/export processes.
• Excellent organizational skills and ability to prioritize.
• Strong communication skills and ability to work independently or in a team.

Responsibilities

• Liaise with suppliers and assist in price negotiations and PO confirmations.
• Enter purchasing offers and POs in the ERP system; update supplier data.
• Coordinate with Sales and Purchasing departments at HQ; ensure timely deliveries.
• Collaborate with Quality Control, Operations and Export to optimize purchasing processes.

Ventós Group is an international company specialized in the distribution of ingredients as Essential Oils & Aroma Chemicals for the Flavors & Fragrances Industry with the Head Quarters located in Barcelona, Spain.

The company has 9 subsidiaries around the world and Ventós-Vos Pte. Ltd. is the Singaporean one, located in Biopolis, Singapore.

To continue with our process of growth, we need to reinforce the purchasing team hiring a Purchasing Assistant.

Responsibilities

• Liaise and follow up with suppliers: assist in price negotiation, confirmation of PO, request and follow up of samples and all documentation related to approval, confirm delivery dates, complaints, customer service etc...
• Keep track of all the information in the ERP system: Enter purchasing offers, purchase orders, update planned reception dates, create and update suppliers’ information, input samples etc...
• Work closely with Sales and Purchasing departments of the Head Quarters.
• Coordinate with different departments as Quality Control, Operations and Export to optimize the purchasing process.

Requirements

• B.S. or B.A. Degree in Business Management, Industrial Management or related field among others.
• At least 2-3 years of relevant experience in a related field. We will positively value that you have worked in B2B environments and in sectors such as the chemical industry or Flavors & Fragrances, among other industries.
• High level of English (speaking and written). Good level of Spanish valuable.
• Desirable knowledge of import / export processes.
• Excellent organizational skills; highly motivated and capable to prioritize efficiently.
• Strong communicative skills and capable to work alone and as part of a team; enthusiastic and reliable.
