RecruitFirst Pte. Ltd. is seeking a Project Coordinator to support the Project Management team in Singapore.
The role focuses on administrative and operational tasks, ensuring smooth day-to-day execution by managing project documents, procurement deliveries, and site coordination between the office and field teams. You will draft permits, coordinate access, track vendors, prepare client reports, and assist finance with proof-of-work documents to trigger payments.

The Project Coordinator will provide administrative and operational support to the Project Management team. You will ensure smooth day-to-day execution by managing project documentation, tracking procurement deliveries, coordinating site schedules, and serving as the primary liaison between the office and the field installation teams.
Document Control & Management: Organize, update, and maintain all project-related documents, including engineering drawings, factory test certificates, structural calculations, and operation manuals.
Permit & Access Coordination: Draft and submit localized permit applications, Risk Assessments (RA), and Method Statements (MOS). Coordinate site access passes for engineers and sub-contractors with building owners.
Procurement & Vendor Tracking: Liaise with suppliers to track the manufacturing and shipping timelines of solar panels, inverters, and HVAC equipment, flagging potential delivery delays early.
Meeting & Progress Administration: Schedule project progress meetings, take detailed minutes, and compile weekly status updates or site photos into clean client reports.
Billing Support: Assist the project team in compiling necessary proof-of-work documents, site completion signatures, and equipment delivery orders required by the finance department to trigger vendor payments.
Diploma or Higher NITEC in Mechanical/Electrical Engineering, Sustainable Energy, or Building Facilities Management or Business administration diploma with project experience
3 years of administrative or coordination experience, ideally within construction, M&E, solar EPC, or facilities management.
