Qualifications

  • Diploma or degree in Event Management or related field.
  • Experience in event coordination or project coordination is preferred.
  • Ability to coordinate multiple vendors and stakeholders under pressure.

Responsibilities

  • Coordinate event projects from planning through setup, event day, and dismantling.
  • Liaise with clients, venues, suppliers, subcontractors, and internal teams to ensure smooth project execution.
  • Prepare project schedules, checklists, layouts, quotations, and other relevant documents.
  • Coordinate manpower, materials, equipment, deliveries, and on-site requirements.
  • Monitor project progress, deadlines, costs, and deliverables.
  • Attend site visits, meetings, rehearsals, and event setups when required.
  • Assist with resolving on-site issues and ensure works are completed according to the agreed scope and specifications.
  • Track variations, additional requirements, and project-related expenses.
  • Ensure proper documentation is maintained from project start to completion.

Position: Project Coordinator (Events)

The Event Project Coordinator oversees daily site and venue operations, ensuring safe, compliant, and efficient running of all activities. The role is heavily focused on festive event setups such as Christmas and Chinese New Year, while also supporting other assigned events as needed.

The role requires strong operational oversight, data analysis capability, and hands-on leadership to guide teams on site. Flexibility is essential, as the role involves evenings, weekends, and public holidays to provide on-site support when required.

Duties:

  • Coordinate event projects from planning and preparation through setup, event day, and dismantling.

Candidate Profile:

  • Diploma or degree in Event Management, Communications, Business, or a related field.
  • 1–3years of experience in event coordination, project coordination, or a related role.
  • Able to coordinate multiple vendors and stakeholders.
  • Detail-oriented, proactive, and able to work under pressure.
  • Proficient in Microsoft Office / Google Workspace.
  • Willing to work on-site, including weekends and evenings when required.
