Job summary

Responsibilities include developing purchase specs with the F&B director, managing vendor records, negotiating terms, and monitoring budgets to drive cost savings while maintaining high standards.

Responsibilities

• Oversee efficient and cost-effective procurement of food, beverages, general supplies, operating equipment, and other hotel requirements.
• Coordinate with the Director of Food & Beverage to meet quality, quantity, pricing, and delivery schedules for purchasing.
• Develop and review purchase specifications for F&B items with the Director of Food & Beverage to maintain quality standards.
• Liaise with Department Heads to identify purchasing needs, recommend economical order quantities, and set par stock levels.
• Ensure compliance with purchasing, receiving, storage, and issuing procedures to maintain controls.
• Ensure all departments receive goods on time and in line with hotel quality standards and specifications.
• Adhere to company policies, purchasing procedures, internal controls, and minimum operating standards.
• Maintain an updated vendor reference file and monitor supplier performance for quality, safety, and delivery requirements.
• Conduct market surveys and price comparisons to identify new products, evaluate suppliers, obtain quotations, and achieve cost savings.
• Establish and monitor par stock levels and reorder points for main store items to prevent overstock and ensure availability.
• Monitor inventory levels and minimize wastage, discrepancies, expiry, and unnecessary inventory holding costs.
• Review purchase requests with three quotes and evaluate suppliers based on price, quality, reliability, and delivery terms.
• Assist in negotiating prices, payment terms, and delivery schedules with suppliers to maximize value.
• Maintain purchasing records, supplier documentation, purchase orders, and related reports in the hotel’s purchasing system.
• Assist in monitoring purchasing expenditure against budgets and identify opportunities to improve procurement efficiency and reduce costs.
• Support the maintenance of purchasing systems and data accuracy; familiar with Future Log for tracking tasks and deadlines.
