Position Overview:
We are seeking a detail-oriented and proactive Automotive Spare Parts Officer to manage spare parts inventory, procurement, and coordination with service teams. The ideal candidate should have good knowledge of automotive components and strong organizational skills.
Responsibilities:
- Oversee end-to-end spare parts inventory management, ensuring optimal stock levels to support operational requirements while minimizing excess inventory and carrying costs
- Manage the full procurement cycle, including sourcing, ordering, tracking shipments, and ensuring timely receipt of automotive spare parts
- Liaise with local and overseas suppliers to obtain quotations, negotiate pricing, and secure favorable terms on cost, quality, and delivery timelines
- Coordinate closely with service advisors, technicians, and workshop teams to accurately process parts requests and ensure alignment with repair and maintenance schedules
- Monitor parts availability and proactively plan replenishment to prevent service delays or disruptions to workshop operations
- Ensure proper receiving, inspection, and storage of parts, including verification of quantities, quality checks, and adherence to storage standards
- Maintain accurate and up-to-date inventory records in the system, including stock movements, purchase orders, and parts issuance
- Conduct periodic stock counts and cycle counts, investigate discrepancies, and implement corrective actions to improve inventory accuracy
- Analyze inventory trends to identify fast-moving, slow-moving, and obsolete parts, and recommend actions such as stock optimization or clearance strategies
- Prepare and generate regular reports on inventory status, usage patterns, procurement activities, and cost analysis for management review
- Support continuous improvement initiatives by reviewing and enhancing inventory control processes, workflows, and system utilization
- Ensure compliance with company policies, audit requirements, and safety standards related to parts handling and storage
- Assist in warranty parts tracking and returns, including coordination with suppliers for claims, replacements, or credits
Requirements:
- Diploma or Degree in Automotive Engineering, Supply Chain, or related field
- 1-3 years of experience in automotive spare parts or inventory management
- Knowledge of automotive components and systems
- Proficiency in MS Excel or inventory management software
- Strong communication and negotiation skills
- Ability to work independently and in a team
