Job summary

Jokia Private Limited is seeking an experienced Operations Manager to oversee warehouse, cold storage, inventory, order processing and delivery operations. The Operations Manager will be responsible for ensuring smooth operations, accurate inventory control, staff management and compliance with company SOPs and safety requirements.

You will drive smooth daily operations, ensure accurate inventory control, manage staff, and enforce SOPs and safety requirements in a fast-paced environment.

Qualifications

• Minimum 3-5 years of experience in warehouse, logistics or operations management.

Responsibilities

• Oversee and manage the day-to-day warehouse and operational activities.
• Ensure daily operations run smoothly and efficiently.
• Plan manpower and allocate duties according to operational requirements.
• Monitor productivity and work performance of warehouse and operations staff.
• Coordinate closely with the Production, Warehouse, Customer Service and Delivery teams.
• Identify operational issues and implement appropriate solutions.
• Monitor and maintain inventory records and stock levels.
• Ensure proper storage and handling of products, especially chilled and frozen goods.
• Oversee daily order processing and ensure orders are fulfilled accurately and on time.
• Coordinate with warehouse staff on picking and packing requirements.
• Monitor delivery schedules and coordinate with drivers.
• Follow up on delayed, incomplete or incorrect deliveries.
• Train employees on SOPs, work procedures and safety requirements.
• Monitor attendance, punctuality and work performance.
• Address operational staff issues and report serious matters to Management.
• Ensure employees follow company safety procedures and SOPs.
• Maintain proper housekeeping and safe working conditions.
• Report and follow up on workplace incidents, equipment issues and safety concerns.
• Prepare daily, weekly and monthly operational reports.
• Monitor inventory, manpower, productivity and operational performance.
• Review operational costs and identify areas for improvement.
• Maintain accurate operational records and documentation.
• Report significant operational issues and recommendations to Management.
• Identify inefficiencies in warehouse and operational processes.
• Recommend improvements to reduce wastage, errors and costs.
• Implement procedures to improve productivity and service quality.
• Work with Management to improve overall operational efficiency.

Key Responsibilities

Operations Management

Inventory Management

• Monitor and maintain accurate inventory records.
• Ensure all stock receiving, transfers, adjustments and dispatches are properly recorded.
• Conduct regular stock checks and inventory reconciliation.
• Investigate and resolve stock discrepancies.
• Monitor stock levels and coordinate replenishment when required.
• Ensure proper storage and handling of products, especially chilled and frozen goods.

Order & Delivery Operations

• Oversee daily order processing and ensure orders are fulfilled accurately and on time.
• Coordinate with warehouse staff on picking and packing requirements.
• Monitor delivery schedules and coordinate with drivers.
• Follow up on delayed, incomplete or incorrect deliveries.
• Ensure customer orders are properly processed and dispatched.

Staff Management

• Train employees on company SOPs, work procedures and safety requirements.
• Monitor attendance, punctuality and work performance.
• Address operational staff issues and report serious matters to Management.

Safety & Compliance

• Ensure employees follow company safety procedures and SOPs.
• Maintain proper housekeeping and safe working conditions in the warehouse and cold rooms.
• Ensure proper handling and storage of food products.
• Report and follow up on workplace incidents, equipment issues and safety concerns.
• Ensure operations comply with relevant company, food safety and regulatory requirements.

Reporting & Administration

• Prepare daily, weekly and monthly operational reports.
• Monitor inventory, manpower, productivity and operational performance.
• Review operational costs and identify areas for improvement.
• Maintain accurate operational records and documentation.
• Report significant operational issues and recommendations to Management.

Continuous Improvement

• Identify inefficiencies in warehouse and operational processes.
• Recommend improvements to reduce wastage, errors and operational costs.
• Implement procedures to improve productivity and service quality.
• Work with Management to improve overall operational efficiency.

Requirements

• Minimum 3-5 years of experience in warehouse, logistics or operations management.
• Experience in cold storage, food distribution or FMCG operations is an advantage.
• Strong inventory management and warehouse operations knowledge.
• Good leadership and manpower management skills.
• Good communication and problem-solving skills.
• Proficient in Microsoft Excel and other basic computer systems.
• Able to work in a fast-paced environment.
• Hands-on, responsible and able to work independently.
